Turn a request into an offer

A Netherlands quote should give the buyer enough detail to approve the work, compare the price, and understand the next step. Include seller and customer names, addresses, contact details, quote date, quote number, service or product description, price, currency, validity period, and payment terms. Use euros unless the buyer contract requires another currency.

The quote does not replace the Dutch VAT invoice. It prepares the data that will later appear on the invoice after the customer accepts the offer or the work is delivered. Clear quote lines also reduce disputes because the buyer sees the scope, quantity, unit price, discounts, and expected VAT treatment before approval.

Build fields that survive invoicing

Dutch VAT invoice requirements make quote structure matter. A Dutch VAT invoice must identify the supplier and customer by name and address and include the supplier's VAT identification number. It must also include an invoice number, invoice date, supply date, and a description of the quantity and type of goods or the nature and type of services supplied.

Quote lines should mirror those later invoice lines. For each VAT tariff or exemption, the invoice must show the unit price excluding VAT, reductions not included in the price, the VAT tariff applied, the cost excluding VAT, and the VAT amount in euros. A quote that separates these items makes the final invoice easier to check.

Handle Dutch VAT decisions early

The Netherlands has three VAT tariffs: 0%, 9% low tariff, and 21% high or general tariff. The 21% tariff applies when no exemption, reverse charge, 0% tariff, or 9% tariff applies. A quote should label the expected VAT treatment clearly, especially when the buyer needs internal approval before issuing a purchase order.

Reverse-charge and intra-EU cases need extra care. For exports of goods to other EU countries, certain related services such as transport, and reverse-charge cases, the customer's VAT identification number must appear on the invoice. When the reverse-charge mechanism applies, the supplier must not include VAT on the invoice and should state "VAT reverse-charged."

A one-off quote works for a fixed job with a known scope, one buyer, and a simple approval path. It is enough when you need a clean PDF or document that states the offer, expected VAT treatment, payment terms, and expiry date. Suppliers to Dutch central government contracts covered by the mandate need structured e-invoicing from January 1, 2017, which is separate from ordinary B2B quoting.
