You need an invoice that names the seller and buyer, states the amount owed, lists the work or goods supplied, and gives the client enough detail to pay without asking for corrections. For Russian VAT transactions, the счет-фактура carries a specific tax role because it supports the buyer's VAT deduction for goods, work, services, or property rights.
The workflow should also keep timing visible. A VAT invoice must be issued no later than five calendar days from shipment, completion of work or services, transfer of rights, or receipt of advance payment. Payment timing usually comes from the contract. If no due date exists and no method determines one, performance is due within seven days after the creditor's demand unless another rule or trade custom applies.
A Russian VAT invoice needs party identifiers before the totals matter. Include the seller and buyer names, addresses, and taxpayer identification numbers. Add shipper, consignee, and payment document details where they apply. Each taxable line should identify the item or service, unit of measure where possible, quantity, unit price excluding VAT, value excluding VAT, excise where applicable, VAT rate, VAT amount, and total value including VAT.
Russia's current VAT framework uses 22% as the standard rate, with 10% for listed food, children's, medical, and publishing goods, and 0% for exports and certain international transport. The VAT charged on a sale is the tax base multiplied by the applicable VAT rate. VAT payable is output VAT less deductible input VAT plus restored VAT where applicable.
Foreign goods need extra attention. Country of origin is required for goods not originating in Russia, and the customs declaration registration number is required for goods not originating in the Eurasian Economic Union. Leaving those fields out creates a preventable review issue for goods invoices that cross the relevant origin rules.
Currency also needs a deliberate choice. Russian monetary obligations are expressed in rubles by default, but a VAT invoice may state amounts in foreign currency when the transaction obligation is expressed in foreign currency. Electronic VAT invoices are generally optional by mutual consent when both parties have compatible systems, but invoices for goods subject to Russia's traceability system generally must be electronic and exchanged through an approved electronic document operator.
A one-off invoice works when you have a small job, known rates, fixed terms, and a clear VAT treatment. It is enough for sending a single счет-фактура, recording a contract payment term, and preserving the line details needed for accounting review. It stops being enough when the invoice depends on changing people, rates, projects, and dated work records.
