Invoice work for Russian clients

Create Russia-ready invoice records

You need an invoice that names the seller and buyer, states the amount owed, lists the work or goods supplied, and gives the client enough detail to pay without asking for corrections. For Russian VAT transactions, the счет-фактура carries a specific tax role because it supports the buyer's VAT deduction for goods, work, services, or property rights.

The workflow should also keep timing visible. A VAT invoice must be issued no later than five calendar days from shipment, completion of work or services, transfer of rights, or receipt of advance payment. Payment timing usually comes from the contract. If no due date exists and no method determines one, performance is due within seven days after the creditor's demand unless another rule or trade custom applies.

Build the tax line correctly

A Russian VAT invoice needs party identifiers before the totals matter. Include the seller and buyer names, addresses, and taxpayer identification numbers. Add shipper, consignee, and payment document details where they apply. Each taxable line should identify the item or service, unit of measure where possible, quantity, unit price excluding VAT, value excluding VAT, excise where applicable, VAT rate, VAT amount, and total value including VAT.

Russia's current VAT framework uses 22% as the standard rate, with 10% for listed food, children's, medical, and publishing goods, and 0% for exports and certain international transport. The VAT charged on a sale is the tax base multiplied by the applicable VAT rate. VAT payable is output VAT less deductible input VAT plus restored VAT where applicable.

Handle Russian invoice edge cases

Foreign goods need extra attention. Country of origin is required for goods not originating in Russia, and the customs declaration registration number is required for goods not originating in the Eurasian Economic Union. Leaving those fields out creates a preventable review issue for goods invoices that cross the relevant origin rules.

Currency also needs a deliberate choice. Russian monetary obligations are expressed in rubles by default, but a VAT invoice may state amounts in foreign currency when the transaction obligation is expressed in foreign currency. Electronic VAT invoices are generally optional by mutual consent when both parties have compatible systems, but invoices for goods subject to Russia's traceability system generally must be electronic and exchanged through an approved electronic document operator.

Move from invoices to rate control

A one-off invoice works when you have a small job, known rates, fixed terms, and a clear VAT treatment. It is enough for sending a single счет-фактура, recording a contract payment term, and preserving the line details needed for accounting review. It stops being enough when the invoice depends on changing people, rates, projects, and dated work records.

Everhour is better suited when tracked work has to become priced billing data before the invoice is finalized. Everhour separates cost and billable rates, supports default per-person rates and per-project overrides, preserves dated rate history, and prices billable work by project, member, or custom task rate. That keeps billing logic connected to the work record instead of rebuilding invoice amounts from notes.

Frequently Asked Questions

Which Russian VAT document supports the buyer's deduction?

The счет-фактура is the Russian VAT invoice used as the buyer's basis for deducting VAT charged by the seller. It applies to VAT on goods, work, services, or property rights. A regular commercial invoice may help request payment, but the счет-фактура carries the VAT deduction function.

How fast must a Russian VAT invoice be issued?

A VAT invoice must be issued no later than five calendar days from shipment, completion of work or services, transfer of rights, or receipt of advance payment. The trigger matters because the deadline starts from the relevant business event, not from the date someone starts preparing paperwork.

Which VAT rates belong in Russian invoicing software?

Russian invoicing software should support the current 22% standard VAT rate, the 10% reduced rate for specified food, children's, medical, and publishing goods, and the 0% rate for exports and certain international transport. The correct rate belongs on the taxable line so the VAT amount and gross value can be checked.

Which Russian invoice fields cause problems when they are incomplete?

Incomplete taxpayer identification numbers, missing buyer or seller addresses, unclear item descriptions, missing VAT rates, and absent VAT amounts create rework. Goods not originating in Russia also need country of origin, and goods not originating in the Eurasian Economic Union need the customs declaration registration number.

Can Russian VAT invoices be electronic?

Russian VAT invoices may be issued electronically by mutual consent when both parties have compatible systems. Goods subject to Russia's traceability system generally require electronic invoices exchanged through an approved electronic document operator. VAT declarations must be submitted electronically when electronic filing is required, and a paper declaration is not treated as submitted in that case.

How does Everhour keep billable rates accurate before invoicing?

Everhour separates internal cost rates from client-facing billable rates, with default per-person rates and per-project overrides. Rate changes can be dated, so older reports keep the original calculation while new work uses the updated rate.

How does Everhour support invoice preparation from tracked work?

Everhour Billing & Invoicing turns tracked billable time and expenses into client invoices. It calculates invoice amounts from billable time, project or member rates, and billable expenses while excluding non-billable work that should stay out of the client charge.

Keep Russian billing records organized

Track approved work, preserve dated billable rates, and turn project time into invoice-ready billing data. Everhour gives teams cleaner rate control before client invoicing.
