A Russia timesheet should help you record the time actually worked by each employee, not just planned shifts or project estimates. Russian employers must keep records of actual working time and exact overtime duration for each employee, while the law does not require a specific app or tracking system.
The practical job is to produce a record that payroll, managers, and finance can read without reconstruction. Each entry should identify the employee, date, project or cost center, start and finish time, breaks where tracked, regular hours, overtime hours, approval status, and ruble-denominated pay or billing values when money fields are used.
Normal working time in Russia may not exceed 40 hours per week, and a standard 40-hour five-day workweek uses 8-hour workdays. A timesheet should make that baseline visible before overtime is reviewed, especially when employees split time across several projects or clients during the same week.
Summarized working-time accounting matters when daily or weekly limits cannot be followed because of production conditions. The accounting period generally cannot exceed one year, and for employees in harmful or dangerous conditions it cannot exceed three months. The timesheet should keep period totals clear enough to support that review.
Russian overtime controls require more than a total-hours column. Overtime for each employee must not exceed 4 hours over two consecutive days or 120 hours in a year, except for special cases under the Labour Code. Overtime pay must be at least 1.5 times the applicable pay for the first two hours and at least double pay after that, unless the employee chooses compensatory rest time instead.
A common setup mistake is mixing approved overtime, unapproved extra time, and corrected time in one undifferentiated column. Employers generally need written employee consent for overtime outside listed emergency or continuity-of-service cases, and pregnant employees and minors cannot be assigned overtime.
