In Vietnam, that means the invoice needs identifiable seller and buyer details, tax identification numbers where applicable, invoice name, symbol or form information, invoice number, issuance date, and line items with enough detail to support the charge.

The software should also support the practical format of a Vietnamese invoice. Invoice text is required in Vietnamese, with a foreign-language translation added where needed. Amounts are generally stated in Vietnamese dong, while foreign-currency invoices apply only where foreign-exchange rules permit that treatment.

Handle VAT and e-invoice details

Vietnam uses VAT invoices for taxable supplies. VAT rates are 0%, 5%, 10%, or exempt depending on the goods or services, with a temporary 2-percentage-point reduction for certain goods and services from July 1, 2025 through December 31, 2026. A correct VAT invoice shows the pre-tax amount, VAT rate, VAT amount, and total payable including VAT.

Since July 1, 2022, businesses, economic organizations, business households, and individuals paying tax under the declaration method generally must use e-invoices, except for limited cases. That makes invoice software useful only if it preserves the identification details that let each invoice be tracked, checked, and handed to the right accounting process.

Keep each charge traceable

A Vietnamese invoice should identify the goods or services supplied and show unit of measure, quantity, unit price, and line amount before tax where VAT invoicing applies. A vague line such as "consulting services" creates review friction. A clearer line names the project, service period, quantity, and price basis.

For service businesses, the invoice line should match the work record behind it. If a client agreed to a VND 1,500,000 hourly rate for implementation work, the invoice should connect that rate to the service description and approved quantity. The invoice becomes easier to approve because the commercial record and invoice math point to the same work.

Move from one-off to managed billing
