Vietnamese VAT invoice requirements

Prepare a sendable invoice

An email invoice for Vietnam should leave you with a finished attachment, not a loose payment note. The document needs enough detail for the buyer to identify the sale, check the tax treatment, and pay the right amount. For most taxpayers under the declaration method, Vietnam has required e-invoices generally from July 1, 2022, except for limited cases.

Treat the email as the delivery wrapper and the invoice as the legal billing record. The invoice itself should carry the required content: seller and buyer information, tax identification numbers where applicable, invoice name or symbol and number, issuance date, line-item details, VAT amounts where VAT applies, and the total payable.

Build the invoice fields

Start with the parties. Vietnam invoice rules require names, addresses, and tax identification numbers for the seller and buyer, with buyer tax details used where the buyer has a tax identification number. Add the invoice name, invoice symbol or form information, and invoice number so the document can be identified and tracked sequentially.

Each line item should describe the goods or services supplied and show unit of measure, quantity, unit price, and line amount before tax where VAT invoicing applies. For VAT invoices, show the amount excluding VAT, the applicable VAT rate, VAT amount, and the total amount payable including VAT. Vietnam invoices use VAT rates of 0%, 5%, 10%, or exempt, with a temporary 2-percentage-point reduction for certain goods and services from July 1, 2025 through December 31, 2026.

Send the right attachment

An emailed invoice should match the issued document, not a recreated summary. Attach the invoice in a format the buyer can store and forward to finance, and put the invoice number, seller name, amount due, and due date in the email body. That keeps the message useful without replacing the invoice content.

Vietnam invoice text is required in Vietnamese, and a foreign-language translation may be added where needed. Amounts are generally stated in Vietnamese dong, while foreign-currency invoices may be used where permitted under foreign-exchange rules and converted or presented as required by Vietnam invoice regulations. Do not remove VND totals from a Vietnamese invoice unless the permitted foreign-currency treatment applies.

Use tools at the right stage

A free invoice tool works for a one-off Vietnam invoice when you already know the buyer details, line items, VAT treatment, currency, and payment terms. It is enough for preparing a clean document, checking the fields before sending, and keeping a copy with the email thread.

A managed workflow becomes useful when billable hours, project costs, approvals, and repeat clients feed the invoice. Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates amounts from rates while excluding non-billable tasks, and keeps invoice status visible after export to QuickBooks Online, Xero, or FreshBooks.

Frequently Asked Questions

Is an emailed invoice enough for Vietnam billing?

An emailed invoice is the delivery method, while the invoice content and e-invoice status determine whether the billing record is complete. From July 1, 2022, businesses, economic organizations, business households, and individuals paying tax under the declaration method generally must use e-invoices, except for limited cases.

Which Vietnam tax label belongs on the invoice?

Use VAT for taxable supplies in Vietnam. VAT rates are 0%, 5%, 10%, or exempt depending on the goods or services, with a temporary 2-percentage-point reduction for certain goods and services from July 1, 2025 through December 31, 2026. Apply the rate that fits the actual supply.

Do Vietnam invoices need tax identification numbers?

Yes. Vietnam invoice content rules require the seller's tax identification number and, where applicable, the buyer's tax identification number, along with their names and addresses. A buyer without a tax identification number still needs clear buyer details so the invoice identifies the transaction.

Should a Vietnam email invoice use Vietnamese or English?

Vietnamese is required for invoice text. A foreign-language translation may be added on the invoice where needed, but the translation does not replace the Vietnamese content. For international buyers, use bilingual labels while keeping the Vietnamese version present and consistent with the invoice data.

Can a Vietnam invoice show foreign currency?

Vietnam invoices are generally stated in VND by default. Foreign-currency invoices may be used where permitted under foreign-exchange rules and converted or presented as required by Vietnam invoice regulations. A common mistake is sending only a foreign-currency total without the required VND treatment.

How does Everhour turn billable work into invoices?

Everhour Billing & Invoicing converts tracked billable time and expenses into client invoices. It calculates invoice amounts from rates, time, and billable expenses while excluding non-billable work, so approved project activity can become an invoice without rebuilding timesheets manually.

Everhour can export invoices to QuickBooks Online, Xero, or FreshBooks as drafts for accounting follow-up. Status, invoice number, issue date, and amount sync back to Everhour, so project and billing reports stay connected after the invoice leaves the workspace.
