It is separate from the seller's invoice, which requests payment after goods, services, or billable work are delivered.
For ordinary United States businesses, no single federal private-sector invoice form controls every buying document. Purchase orders are mainly practical contract and recordkeeping documents. The useful result is a clear written authorization that the supplier can match to its invoice, shipping records, and payment follow-up.
A free purchase order template works best when you need a downloadable document without a paywall, signup, or installed purchasing system. It should give you editable fields for company details, supplier details, PO number, date, line items, tax or shipping notes, totals, delivery address, approver, and terms.
The template is enough for one-off purchases, small vendor orders, internal approvals, and supplier requests that do not need a full procurement workflow. Save the finished PDF or spreadsheet with a consistent file name, such as `PO-1048-Acme-Supplies`, so the later supplier invoice can be checked against the exact authorization.
A useful purchase order gives the supplier the same facts they need to fulfill the order and invoice correctly. Include buyer name and address, supplier name and address, a unique PO number, issue date, requested delivery date, shipping location, item descriptions, quantities, unit prices, extended prices, subtotal, sales tax treatment if known, shipping charges, total, and payment terms.
Line items deserve the most care. A vague line such as `design work, $2,000` creates disputes when the supplier invoices by milestone, person, or hour. A better line states `website design, 20 hours at $100 per hour, homepage and product page`. The PO then gives both sides a concrete check against the later invoice.
The United States does not use a national VAT or GST invoice regime, so a purchase order should not ask for a United States VAT number. Sales and use tax obligations come from state and local rules, and sellers generally collect and remit tax where applicable. Rates depend on jurisdiction, nexus, product or service taxability, and the place of sale.
Service taxability also varies by state and service type. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services. If the supplier controls tax collection, leave tax as a supplier-calculated line or add a note that tax applies according to the supplier's applicable state and local rules.
A free template is enough when the purchase is occasional, low-risk, and easy to approve from a single document. It starts to break down when service purchases depend on tracked hours, dated rate changes, project budgets, non-billable work, or different rates by person, task, or project.
