Use this page to build a clean billing record for goods, services, work, or property rights connected to a Russian customer or supplier. The practical goal is a document that names both parties, describes the supply, shows the price, applies the correct tax treatment, and gives the payer enough information to approve and pay without another email thread.
For VAT transactions in Russia, the счет-фактура is the VAT invoice used as the buyer's basis for deducting VAT charged by the seller on goods, work, services, or property rights. Keep that role separate from a simple payment request. A client-facing invoice can request payment, while the счет-фактура supports VAT accounting and must carry the statutory tax details.
A Russian VAT invoice must include the seller and buyer names, addresses, and taxpayer identification numbers. It also needs shipper and consignee details and payment document details where applicable. For taxable supplies, list each item or service with quantity, unit price, net value, VAT rate, VAT amount, and gross value.
Russia's current general VAT rates are 22% standard, 10% reduced, and 0% zero rate for specified categories. The VAT charged on a sale is calculated as tax base × VAT rate. Russian monetary obligations are expressed in rubles by default, but a VAT invoice may state amounts in foreign currency when the transaction obligation is expressed in foreign currency.
The issue date matters. A VAT invoice must be issued no later than five calendar days from shipment, completion of work or services, transfer of rights, or receipt of advance payment. Late or incomplete documents create accounting friction for the buyer, especially when the buyer needs the счет-фактура to support a VAT deduction.
Goods create extra fields. Country of origin is required for goods not originating in Russia, and the customs declaration registration number is required for goods not originating in the Eurasian Economic Union. Electronic VAT invoices are optional by mutual consent where both parties have compatible systems, but invoices for goods subject to Russia's traceability system must generally be electronic.
A one-off invoice app is enough when you need a single billing record, a simple service description, and a clear total. It also works for occasional exports where the contract already states the currency, payment term, and tax treatment. Payment timing is normally set by the contract; without a due date, the obligation is performed within seven days after the creditor's demand unless another rule or trade custom applies.
A managed workflow becomes useful when invoice totals come from tracked time, billable expenses, task rates, and client-specific terms. Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates amounts from rates while excluding non-billable tasks, supports client settings and invoice customization, and exports invoices to QuickBooks Online, Xero, or FreshBooks with status sync back to Everhour.

The счет-фактура supports the buyer's VAT deduction in Russia. It is the VAT invoice for goods, work, services, or property rights. A regular payment invoice can request payment, but it does not replace the statutory VAT invoice when the transaction requires VAT documentation.
For taxable supplies, each line should show the item or service description, unit of measure where possible, quantity, price excluding VAT, value excluding VAT, excise if applicable, VAT rate, VAT amount, and total value including VAT. The party details must also include seller and buyer taxpayer identification numbers.
A Russian VAT invoice may state amounts in foreign currency when the transaction obligation is expressed in foreign currency. Russian monetary obligations are expressed in rubles by default, so the contract should make the currency obligation clear before the invoice is issued.
A Russian VAT invoice must be issued no later than five calendar days from shipment, completion of work or services, transfer of rights, or receipt of advance payment. The deadline follows the event that triggers invoicing, so service completion and advance payment can both start the clock.
Electronic VAT invoices may be issued by mutual consent when both parties have compatible systems. Invoices for goods subject to Russia's traceability system must generally be electronic and exchanged through an approved electronic document operator. VAT declarations must be submitted electronically when electronic filing is required.
