The practical job is simple: capture time against the right person, project, client, and billing rate before the accounting system receives the invoice. QuickBooks then remains the place for invoice management, payment records, and the ledger.
A good QuickBooks-connected workflow does not start inside the invoice form. It starts when people record time against the work they performed. For U.S. wage-and-hour records, covered employers must keep accurate records for non-exempt workers, including hours worked each workday and total hours worked each workweek. The FLSA does not require a specific timekeeping system, but the method must be complete and accurate.
QuickBooks Online integrations for time tracking usually pass selected billing data into accounting, rather than replacing accounting. In Everhour's QuickBooks Online connection, active QuickBooks customers sync into Everhour clients, and billable hours and expenses can become a QuickBooks Online draft invoice. The invoice export uses default Account and Item Code settings chosen after authorization.
The key fields are client, project, date range, billable time, expenses, hourly rate, and taxable invoice treatment where applicable. Everhour invoices can be built for a selected client, projects, and period, using member or project rates while excluding non-billable tasks. After export, QuickBooks Online manages the invoice, while Everhour shows status, invoice number, issue date, and amount from the connected accounting tool.
QuickBooks supports employee time on invoices and project profitability, but the handoff still needs clean source records. Time entries should identify the work performed, the person responsible, and whether the time is billable. A weak process pushes corrections into the invoice stage, where accountants have to guess which hours belong to a client, which hours are internal, and which rates apply.
The integration boundary matters. QuickBooks Online contacts sync into Everhour's Clients tab without a granular option to select only certain contacts. Everhour can export an invoice as a QuickBooks Online draft, but partial payments added inside Everhour do not sync to QuickBooks Online. Treat the time system as the source for hours and invoice preparation, and treat QuickBooks Online as the system for final accounting activity.
A one-off time tracking tool is enough when one person needs a small invoice, the client list is short, and the hours require little review. It works best for a simple project with clear billable time, fixed rates, and no team approval step. The final invoice still needs the right client, period, description, rate, tax treatment, and payment handling in QuickBooks Online.

QuickBooks can support time on invoices and project profitability, but many teams still use a dedicated time tracking layer to collect task-level hours before accounting. The tracking system captures who did the work, which project it belongs to, whether it is billable, and which rate applies. QuickBooks then handles invoice management, payments, and accounting records.
The most useful records include worker, client, project, task or service description, date, billable status, rate, and approval status. For employees covered by the FLSA minimum wage or overtime provisions, employer records must include hours worked each workday and total hours worked each workweek. Payroll records must be preserved for at least three years, and basic time and earnings records for at least two years.
Covered nonexempt employee hours may not be averaged across two or more workweeks for FLSA overtime. A workweek is a fixed, regularly recurring 168-hour period made of seven consecutive 24-hour periods. Unless exempt, covered employees must receive overtime pay for hours worked over 40 in a workweek at not less than one and one-half times the regular rate of pay.
Client and item mapping causes cleanup when teams treat the export as a generic spreadsheet transfer. Everhour's QuickBooks Online connection uses synced customer details and default Account and Item Code settings for invoice export. If the client, product or service, tax details, or billable status is wrong before export, the QuickBooks Online draft invoice needs accounting review before sending.
Partial payments added inside Everhour do not sync to QuickBooks Online, so that payment feature does not work for exported invoices. Teams using QuickBooks Online should record and manage invoice payments in QuickBooks after export. This keeps payment status, accounting balances, and customer records in the accounting system that owns the invoice.
