Use a receipt template for Spain when you need a clean record of payment, service delivered, buyer details, and tax treatment. The practical goal is simple: give the customer proof of payment and keep enough information for accounting, IVA review, and later invoice matching. For business customers, treat the receipt as a document that must align with the invoice record rather than a loose confirmation note.

Spanish full invoices are regulated mainly by Royal Decree 1619/2012, so a receipt tied to a taxable business sale should not drop the details that the invoice needs. Keep the seller identity, customer identity, dates, item description, taxable base, IVA rate, IVA amount, and total together. That structure reduces corrections when the customer asks for a full invoice or your accountant reconciles paid work.

Include the required tax details

A Spanish full invoice must include an invoice number and, where applicable, a series, with numbering that runs sequentially within each series. It must also show the issue date and the supply or advance payment date when that date differs from the issue date. A receipt template should preserve those date fields instead of using one vague "paid on" line for every transaction.

Identify the supplier and customer by full name or business name and address. Include the supplier's NIF, and include the customer's NIF for domestic taxable operations and specified cross-border or reverse-charge cases. For each line, describe the goods or services, show the unit price before tax, list discounts not already included, and separate the IVA rate and IVA amount from the taxable base.

Avoid Spanish receipt mistakes

Spain uses IVA, with a 21% general rate, a 10% reduced rate, and a 4% super-reduced rate. The Canary Islands, Ceuta, and Melilla sit outside Spain's harmonized VAT territory, so do not copy a mainland IVA line into those cases without checking the applicable tax treatment. A receipt that uses the wrong indirect-tax label creates cleanup work later.

Amounts may be shown in any currency, but any VAT charged must be expressed in euros. Receipts and invoices may be issued in any language, though the tax administration can require a translation into Spanish or another official language in Spain during an audit. For commercial transactions, payment terms default to 30 calendar days, and agreed terms cannot exceed 60 calendar days.
