Use this page to prepare a full invoice layout before sending a client bill. The finished document should identify the seller, buyer, invoice number, issue date, due date, line items, subtotal, tax line, total, payment terms, and remit-to details. A comprehensive template gives each item a defined place, so the invoice reads like a business record instead of a message asking for payment.
In the United States, ordinary private-sector invoices are mainly recordkeeping and contract documents. The IRS treats invoices as supporting documents that help show business transactions, gross receipts, and expenses. There is no prescribed federal private-sector invoice form, so the practical goal is completeness, consistency, and a format that your client, bookkeeper, and payment process can follow.
A comprehensive invoice should handle more than one line item, different quantities, unit prices, extended prices, discounts, tax treatment, payment instructions, and terms. A service business may need separate rows for consulting, project management, and reimbursable expenses. A product seller may need quantity, item description, unit price, shipping terms, and a tax line that matches the place and nature of the sale.
Add optional fields only when they support the transaction. A purchase order number, contract reference, project code, shipping address, or contact person can speed approval for larger clients. A logo and custom terms improve presentation, but they do not replace the core billing fields. A comprehensive template earns its space by preventing missing data, duplicate questions, and unclear payment expectations.
The United States does not use a national VAT or GST invoice regime. Sales and use tax is imposed and administered by states and local jurisdictions. A United States invoice therefore should not add a VAT number field by default, and it should not apply one national tax rate. The tax line must follow the seller's registration duties, nexus, product or service taxability, and the place of sale.
Washington shows the problem clearly: its sales tax includes a 6.5% state portion plus a local portion that varies by city or county and is collected based on where the customer receives the goods or services. Service taxability also varies. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services.
A standalone template is enough for one invoice, a small client, or a billing process you handle manually. It gives you a clean PDF or document to send, archive, and match against payment. It works best when the invoice total comes from a known scope, the tax decision is already settled, and the client does not require ongoing project-level backup.
A managed workflow becomes better once invoices depend on tracked billable time, project rates, expenses, and approval history. Everhour Billing & Invoicing converts uninvoiced time and expenses into client invoices, calculates amounts from rates, excludes non-billable work, supports client defaults, and exports invoices to QuickBooks Online, Xero, or FreshBooks with status details visible in Everhour.

A comprehensive invoice template should include seller and buyer details, invoice number, invoice date, due date, line items, quantities, rates, extended prices, subtotal, tax line, total due, payment terms, and remit-to details. Add purchase order, contract, project, shipping, discount, and contact fields when the client or transaction requires them.
A comprehensive template should include discount fields when you offer invoice-level or line-level discounts. Keep the discount visible near the related price so the client can see the original charge, the reduction, and the final amount. Hidden discounts create approval questions because the invoice total no longer ties cleanly to the line items.
An invoice requests payment for goods or services delivered or billed under agreed terms. A quote or estimate comes before the work or sale and states expected pricing. A receipt proves payment received. Treating those documents as interchangeable weakens the audit trail because each one answers a different business question.
A United States invoice does not need a national VAT or GST registration field because the United States does not use a national VAT or GST invoice regime. Sellers that make taxable sales may need state-level sales-tax registration, such as a California seller's permit for retailers engaged in business in California selling taxable tangible personal property.
Federal procurement invoices have more specific requirements than ordinary private-sector invoices. FAR 32.905 defines a proper invoice to include contractor name and address, invoice date and number, contract or order references, descriptions, quantities, unit and extended prices, shipping and payment terms, remittance details, defect-contact details, and TIN or EFT banking data when agency procedures require them.
