In the United States, ordinary private-sector invoices are mainly recordkeeping and contract documents. The IRS treats invoices as supporting documents that help show business transactions, gross receipts, and expenses. There is no prescribed federal private-sector invoice form, so the practical goal is completeness, consistency, and a format that your client, bookkeeper, and payment process can follow.

Include fields basic templates skip

A comprehensive invoice should handle more than one line item, different quantities, unit prices, extended prices, discounts, tax treatment, payment instructions, and terms. A service business may need separate rows for consulting, project management, and reimbursable expenses. A product seller may need quantity, item description, unit price, shipping terms, and a tax line that matches the place and nature of the sale.

Add optional fields only when they support the transaction. A purchase order number, contract reference, project code, shipping address, or contact person can speed approval for larger clients. A logo and custom terms improve presentation, but they do not replace the core billing fields. A comprehensive template earns its space by preventing missing data, duplicate questions, and unclear payment expectations.

Treat tax as a real decision

The United States does not use a national VAT or GST invoice regime. Sales and use tax is imposed and administered by states and local jurisdictions. A United States invoice therefore should not add a VAT number field by default, and it should not apply one national tax rate. The tax line must follow the seller's registration duties, nexus, product or service taxability, and the place of sale.

Washington shows the problem clearly: its sales tax includes a 6.5% state portion plus a local portion that varies by city or county and is collected based on where the customer receives the goods or services. Service taxability also varies. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services.
