Complete invoice records and workflows

Build a complete billing record

Use this page to create an invoice that covers more than a basic total due. A complete invoice identifies the seller and buyer, assigns an invoice number, states issue and due dates, lists line items, applies discounts or tax where required, shows the total, and tells the client where and how to pay.

For ordinary United States private-sector billing, no single federal invoice form applies. Businesses choose recordkeeping systems suited to the business if the records clearly show income and expenses. The invoice still matters because IRS guidance treats invoices as supporting documents that record business transactions and show amounts and sources of gross receipts.

Include fields that prevent disputes

A strong invoice line item shows the service or product, quantity, rate, and extended amount. For service work, that can mean "Design consultation, 6 hours at $125, $750." For goods, it can mean units shipped, unit price, and any shipping term that affects the buyer's review.

The header and footer matter as much as the line items. Add seller and buyer legal names, mailing or billing addresses, invoice date, payment terms, remit-to details, and a clear contact for invoice questions. Keep an invoice distinct from a receipt, estimate, or quote. A receipt proves payment received, while an estimate or quote gives pricing before work starts.

Handle advanced invoice cases

Comprehensive invoicing covers cases a basic form skips: multiple projects, per-line discounts, taxable and non-taxable lines, recurring work, multi-currency client preferences, custom terms, and project-specific billing rates. These fields keep the invoice readable when one client receives several types of work on one bill.

United States sales and use tax is state and local, with no national VAT or GST invoice regime. Rates and taxability depend on the applicable jurisdiction, nexus, product or service type, and where the sale is sourced. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services.

Choose a tool or system

A one-off invoice tool is enough when you need a clean PDF for a single client, a simple project, or a corrected billing document. It works best when the billable work is already organized, tax treatment is already known, and no one needs a recurring approval trail.

A managed workflow fits recurring client work, time-and-materials billing, team approvals, and project cost tracking. Everhour can turn tracked billable time and expenses into invoices, exclude non-billable work, group line items by project, task, person, or date, and keep invoiced time from being reused on a later invoice.

Frequently Asked Questions

Which extra fields make invoicing comprehensive?

Comprehensive invoices include the standard billing fields plus details that reduce back-and-forth: project references, item descriptions, quantities, rates, discounts, tax treatment, payment terms, remit-to details, and a question contact. For client work billed by time, include enough line-item detail to show the work performed without exposing internal notes that do not belong on the invoice.

How should tax be handled on United States invoices?

United States invoices do not use a national VAT or GST line. Sales and use tax depends on state and local rules, nexus, the product or service sold, and the place of sale. A seller that makes taxable sales may need state-level registration, such as a seller's permit or sales-tax account, before collecting and remitting tax.

Does comprehensive invoicing replace a receipt or quote?

A comprehensive invoice requests payment for goods or services. It does not prove that payment was received, and it does not replace a receipt. It also differs from a quote or estimate, which gives pricing before work starts. Keep each document separate so the client and accounting records show the correct stage of the transaction.

Which records matter after an invoice is sent?

Keep the invoice, contract or approval, delivery record, time record, payment record, and any credit memo or correction. IRS guidance treats invoices as supporting documents for business transactions, so the invoice should connect cleanly to the income recorded in the books and the client payment that closes the receivable.

Do federal contract invoices need different details?

Federal procurement invoices follow FAR proper-invoice rules. FAR 32.905 lists details such as contractor name and address, invoice date and number, contract or order references, descriptions, quantities, unit and extended prices, payment terms, remittance details, defect-contact details, and TIN or EFT banking data when agency procedures require them.

How does Everhour separate billable and non-billable invoice time?

Everhour supports billable and non-billable time through project billing status, task-level non-billable controls, custom task rates, and member-rate exceptions. Admin reports can show billable time, non-billable time, billable amount, and cost, so invoice totals stay tied to the work that should actually be billed.

How does Everhour move invoice data into accounting tools?

Everhour can export invoices to QuickBooks Online, Xero, or FreshBooks as drafts. Invoice status, number, issue date, and amount sync back to Everhour, so project billing reports stay connected after the accounting system handles sending, payment collection, and reconciliation.

Turn billable work into invoices

Track billable and non-billable work before invoicing starts. Everhour keeps project billing status, task exceptions, rates, and admin reports connected to invoice-ready totals.
