A Swedish quote is used before the sale is confirmed, so it should make the proposed work, price, tax treatment, and acceptance terms easy to review. It is not the same document as a VAT invoice, but it should already contain the details that will carry into the invoice if the client approves the work.
Use it for service proposals, project work, product orders, repairs, consulting, and time-based work billed in SEK. Include enough detail for the buyer to compare scope, price, and delivery dates without asking for a rewritten offer. A quote that becomes accepted often becomes the commercial record behind the invoice, purchase order, or project kickoff.
Start with the seller and buyer names, addresses, quote date, quote number, validity period, payment terms, and a clear description of the goods or services. Add line items with quantity, unit price, discounts, VAT treatment, and totals. Sweden uses VAT, called mervardesskatt or moms, and Swedish taxable invoices commonly show 25%, 12%, or 6% depending on the goods or services.
A VAT invoice in Sweden needs an issue date, unique sequential invoice number, supplier and customer details, the supplier VAT number, supply details, taxable amount, VAT rate, and VAT amount due. A quote does not need to be a full VAT invoice, but matching those fields early reduces corrections later. A Swedish VAT number is normally written as SE followed by 10 digits and 01, for example SE999999999901.
A quote should flag cases that change the final invoice. Add the buyer VAT number when reverse charge or intra-EU treatment may apply, because the customer VAT identification number is required on the invoice in those cases. Add the supply date when it differs from the invoice date or when advance payment timing affects the billing record.
Public-sector work needs extra attention. Invoices issued to Swedish public-sector buyers as a result of public procurement must be electronic invoices that comply with the European e-invoicing standard from April 1, 2019, and a PDF invoice is not a compliant e-invoice. A quote can still start the sale, but the billing workflow must be ready for the required invoice format.
A free quote works well for a single proposal, a small job, or an early price conversation. It gives the buyer a clean document and gives you a source for the later invoice. It is enough when pricing is fixed, the scope is simple, and the same person prepares both the quote and the invoice.
A managed workflow becomes necessary when quotes depend on tracked time, project rates, non-billable work, expenses, or approvals. Everhour can separate billable and non-billable time through project billing status, task-level non-billable controls, custom task rates, member-rate exceptions, and admin reports for billable time, non-billable time, billable amount, and cost.

A Swedish quote should show the expected VAT, commonly called moms, when VAT will apply to the later invoice. Sweden uses the EU VAT system, with a standard rate of 25% and reduced rates of 12% and 6% for specified goods and services. Showing the rate on the quote helps the buyer see the total price before approval.
A quote is a pre-sale offer, while a VAT invoice is the tax and accounting document issued after the supply or payment trigger. A full Swedish VAT invoice must include items such as issue date, unique sequential invoice number, supplier VAT number, taxable amount, VAT rate, and VAT amount due. Keep the quote aligned with those fields so invoicing stays clean.
The seller's Swedish VAT number belongs on the quote when VAT applies, especially if the quote will be converted into an invoice. A Swedish VAT registration number is normally written as SE followed by 10 digits and 01, such as SE999999999901. The customer's VAT number is also needed for reverse charge or qualifying intra-EU supplies.
A Swedish quote can be written in English for practical business use, especially when the buyer works in English. Swedish accounting records, including invoice records kept as accounting information, are generally allowed in Swedish, Danish, Norwegian, or English. Buyer requirements, procurement rules, or contract terms can still require a specific language.
A 30-day term is common for Swedish business billing because statutory late-payment interest generally starts only after 30 days from the creditor's invoice or payment demand when no due date has been agreed. If the parties agree to a different due date, put that date or term directly on the quote.
Everhour lets admins set project billing status, mark specific tasks as non-billable, use custom task rates, and set member-rate exceptions. Admin reports can show billable time, non-billable time, billable amount, and cost, so quote preparation can exclude internal work from client-facing totals.
Everhour Billing & Invoicing can turn tracked billable time and expenses into invoices, calculate amounts from rates and billable expenses, and exclude non-billable work. Invoice line items can be grouped by project, task, person, date, or another available breakdown before export to QuickBooks Online, Xero, or FreshBooks.
Track accepted scope, separate billable from non-billable work, and prepare cleaner invoices from approved time. Everhour keeps project billing data organized from quote to invoice.
