Use a Sweden purchase order to document what you approved before the supplier starts work, ships goods, or invoices you. The PO should name the buyer and supplier, describe the goods or services, show quantities, unit prices, delivery details, payment terms, currency, and the person or department approving the spend.
A purchase order is a commercial approval document, not the same thing as a Swedish VAT invoice. The later invoice must carry the invoice-specific details required under Sweden's VAT system, including a dated sequential invoice number and VAT amounts where VAT applies. A clear PO still prevents disputes because it gives both sides the agreed commercial terms before billing starts.
Sweden uses VAT, called mervardesskatt or moms, under the EU value-added tax system. A PO should collect the supplier's legal name, address, contact details, and Swedish VAT registration number where VAT applies. A Swedish VAT number is normally written as SE followed by 10 digits and 01, for example SE999999999901.
The PO can also show expected VAT treatment so the invoice team knows what to check later. Sweden's standard VAT rate is 25%, with reduced rates of 12% and 6% for specified goods and services. The supplier's invoice, rather than the PO, is the tax document that must show taxable amounts, VAT rates, and VAT amounts due.
A good Swedish PO makes the later invoice easier to review. Match line descriptions to the actual goods or services, separate taxable categories when rates differ, and use SEK unless the supplier agreement specifies another currency. Add delivery or service dates when they affect fulfillment, acceptance, or milestone billing.
Public-sector procurement needs extra care. Invoices issued to Swedish public-sector buyers as a result of public procurement must be compliant e-invoices under the European e-invoicing standard from April 1, 2019. A PDF invoice is not treated as a compliant e-invoice, so the PO should capture the buyer's e-invoicing instructions before the supplier bills.
A free PO template works for a single order, a small supplier purchase, or a one-time approval trail. It is enough when you only need a clean record of items, prices, contacts, and expected invoice terms before the supplier sends the final VAT invoice.
A managed workflow is better when purchase approvals connect to project pricing, client billing, and margin tracking. Everhour separates internal cost rates from client-facing billable rates, supports per-person defaults and per-project overrides, preserves dated rate history, and prices billable work by project, member, or task. That structure keeps approved work tied to the rates used for reporting and invoicing.

No. A purchase order records the buyer's approval to purchase goods or services. A Swedish VAT invoice is the supplier's tax document and must include invoice-specific details such as the issue date, unique sequential invoice number, supplier VAT number, taxable amount, VAT rate, and VAT amount due where VAT applies.
Collect the supplier's Swedish VAT registration number when VAT applies. The format is normally SE followed by 10 digits and 01, such as SE999999999901. Store it with the supplier's legal name and address so the later invoice can be checked against the approved vendor record.
A Swedish PO can show expected moms treatment, especially when the buyer needs budget approval for the total cost. The supplier's invoice remains the document that must show the taxable amount by rate or exemption, the VAT rate, and the VAT amount due. Use 25%, 12%, or 6% only when that rate fits the goods or services.
Yes, English is acceptable for Swedish accounting records, along with Swedish, Danish, and Norwegian. Use clear commercial language, stable item descriptions, and unambiguous delivery terms. The supplier still needs enough information to issue a correct Swedish VAT invoice and, for public-sector procurement, a compliant e-invoice.
State an agreed due date or payment term directly on the PO. If no due date has been agreed, Swedish late-payment interest on a monetary claim generally starts only after 30 days from the creditor's invoice or payment demand, and the statutory rate is the reference rate plus eight percentage points.
Everhour separates cost rates from billable rates, so internal labor cost and client-facing revenue stay distinct. Teams can set default per-person rates, override rates by project, date rate changes, and price billable work by project, member, or task before amounts move into reports or invoices.
Track project work against the right cost and billable rates before invoicing. Everhour keeps dated rates, project overrides, and billable pricing aligned for cleaner billing decisions.
