Swedish invoice print requirements

Create a usable printed invoice

A Sweden invoice is usually a VAT invoice under the Swedish and EU VAT system. If you charge tax, label it as VAT or moms, use SEK unless the buyer agreed otherwise, and show the seller's Swedish VAT number where VAT applies. A Swedish VAT number is normally written as SE followed by 10 digits and 01, for example SE999999999901.

The printed copy should be ready for three jobs: sending to the buyer, filing with accounting records, and matching payment later. Keep the invoice number visible, keep the tax breakdown easy to read, and avoid handwritten edits after printing. If a correction is needed, issue a corrected invoice or credit note through the same numbering and record process.

Include the required invoice fields

A full Swedish VAT invoice must show the issue date, a unique sequential invoice number, supplier and customer names and addresses, the supplier VAT number, the goods or services supplied, the taxable amount by rate or exemption, the VAT rate, and the VAT amount due. Swedish VAT rates are 25%, 12%, and 6%, depending on the goods or services.

The supply date also matters when it differs from the issue date and can be determined. Add the date when goods or services were supplied or completed, or when an advance payment was made. Customer VAT numbers belong on the invoice for reverse-charge transactions and exempt intra-EU supplies that require the customer's VAT identification number.

Print without breaking the record

A printed Sweden invoice should match the invoice stored in your accounting records. Swedish accounting records, including invoice records kept as accounting information, are generally allowed in Swedish, Danish, Norwegian, or English. Use one clear language across the buyer details, item descriptions, tax labels, and payment terms unless the customer contract requires another format.

Printing does not replace Sweden's public-sector e-invoicing rule. Invoices issued to Swedish public-sector buyers as a result of public procurement must be electronic invoices that comply with the European e-invoicing standard from April 1, 2019. A PDF invoice is not treated as a compliant e-invoice for that mandate, even if the same PDF is printable.

Sweden also allows simplified invoices for lower-value transactions, generally when the total does not exceed SEK 4,000 including VAT, but the invoice still needs enough information to identify the seller, transaction type, VAT, and amount.

A Sweden invoice that charges tax should use VAT or the Swedish term moms. The invoice should show the applicable VAT rate, the VAT amount due, and the taxable amount by rate or exemption.
