Swedish work time totals and pay

What this calculation answers

A Sweden time card calculation answers three practical questions: how many paid hours the employee worked each day, how many paid hours landed in the week, and what those hours equal in SEK at the agreed hourly rate. The daily total starts with the shift span, then subtracts unpaid rest breaks and keeps paid pauses or required workplace meal breaks in the total.

Sweden's Working Hours Act sets ordinary working time at a maximum of 40 hours per week, with averaging over up to four weeks where the nature of the work or working conditions require it. The same time card also helps you spot review points, such as total working time near the 48-hour weekly average cap, missing rest, or a break entry that was treated as unpaid when Swedish rules count it as working time.

Use the time card formula

Use this formula for each shift: end time minus start time minus unpaid rest breaks equals paid working time. Add the daily paid totals to get the weekly total. Multiply the paid weekly hours by the hourly rate to get gross straight-time pay before tax, premiums, leave, or collective agreement adjustments.

For example, an employee in Sweden earns 215 SEK per hour and records paid daily totals of 8, 7, 9, 8, and 8 hours. The weekly paid total is 40 hours. Straight-time pay is 40 × 215 SEK, which equals 8,600 SEK. If Wednesday ran from 08:00 to 18:00 with a 1-hour unpaid rest break, that day contributes 9 paid hours.

Treat Swedish breaks correctly

Adult employees in Sweden must not work more than five consecutive hours without a rest break, and the employer must state the break length and timing in advance as far as circumstances allow. An ordinary rest break is outside working time because the employee may leave the workplace, so the time card should subtract it from paid working time unless a contract, policy, or collective agreement says otherwise.

Swedish rules treat two common entries differently. A workplace meal break that replaces a rest break because of working conditions, illness, or another unforeseeable event counts as working time. Needed pauses also count as working time, and the Act does not set an exact number or duration for ordinary pauses. Workers under 18 need a continuous break of at least 30 minutes no later than after 4.5 hours of work.

Move from calculation to workflow

A one-off time card calculation is enough for a single shift correction, a pay estimate, or a quick check before sending hours to payroll. Use the calculator when the inputs are clear: start time, end time, unpaid break time, paid pause time, hourly rate, and the worker category. The result gives you the daily and weekly arithmetic without creating a permanent approval record.

A managed workflow becomes necessary when several people submit time, calendar events create work entries, managers approve hours, or payroll needs an audit trail. Everhour's calendar integration turns Google, Outlook, and iCloud calendar events with defined start and end times into timesheet entries inside a configurable 15-minute to 3-hour window, excluding all-day, recurring, and pre-connection events.

Frequently Asked Questions

Which Sweden time card entries count as paid working time?

Paid working time includes the hours the employee works, required workplace meal breaks that replace ordinary rest breaks under the listed Swedish conditions, and needed work pauses. Ordinary rest breaks are outside working time because the employee may leave the workplace. Contracts, policies, and collective agreements can change pay treatment, so payroll should check the applicable agreement before finalizing pay.

Does a Swedish rest break reduce the daily total?

An ordinary Swedish rest break reduces the daily paid total because it interrupts daily working time and the employee may leave the workplace. A workplace meal break does not reduce the total when it replaces a rest break because of working conditions, illness, or another unforeseeable event. That workplace meal break counts as working time under the Working Hours Act.

Which weekly limit should a Sweden time card flag?

A Sweden time card should keep the 40-hour ordinary working time limit visible, because the Working Hours Act sets ordinary working time at a maximum of 40 hours per week. It should also flag total working time near the 48-hour average per seven-day period over the allowed reference period, because overtime and other extra working time affect that broader cap.

Why should Sweden time cards use 24-hour times?

Swedish workplaces commonly use 24-hour time, and 24-hour entries reduce mistakes around midday and midnight. A shift recorded as 08:00 to 17:00 with a 1-hour unpaid rest break produces 8 paid hours. The same shift written with AM and PM labels gives payroll another field to interpret and another place for a wrong total to enter the record.

How do minor employee breaks change a time card?

Workers under 18 in Sweden must receive a continuous break of at least 30 minutes no later than after 4.5 hours of work. Special minor working-time rules cannot be replaced by collective agreement. A time card for a minor should flag any shift that crosses 4.5 hours without that break, even when the adult five-hour break trigger would not flag it yet.

How does Everhour convert calendar events into timesheet entries?

Everhour connects Google, Outlook, and iCloud calendars so events with defined start and end times become timesheet entries. Users configure whether entries are created before or after events within a 15-minute to 3-hour window, while all-day, recurring, and pre-connection events do not sync.

Turn Swedish time into records

Use the calculator for quick checks, then let Everhour convert calendar events into timesheet entries so managers review scheduled work with less manual re-entry.
