The practical goal is a clean document: seller, buyer, invoice number, invoice date, line items, SEK totals, payment terms, and the VAT or moms treatment that matches the sale.
For ordinary business invoices, Sweden follows the EU value-added tax system. Swedish invoices that charge tax refer to VAT, commonly called moms in Swedish. A downloadable invoice should use that label consistently, show the seller's Swedish VAT number where VAT applies, and separate taxable amounts from VAT amounts so the buyer can post the invoice correctly.
A full Swedish VAT invoice must identify the invoice date, a unique sequential invoice number, supplier and customer names and addresses, the supplier VAT number, the goods or services supplied, the taxable amount by rate or exemption, the VAT rate, and the VAT amount due. The supply date also belongs on the invoice when it differs from the issue date and can be determined.
Swedish VAT registration numbers are normally written as `SE` followed by 10 digits and `01`, for example `SE999999999901`. VAT rates must match the actual supply: Sweden's standard VAT rate is 25%, with reduced rates of 12% and 6% for specified goods and services. The customer's VAT identification number is required for reverse charge or exempt intra-EU supplies that require it.
Review the invoice as a final customer-facing document before saving it. The invoice number must follow your sequence, the legal names and addresses must be complete, the VAT or moms line must match the line items, and the payment term must reflect the agreement. Swedish invoice records kept as accounting information are generally allowed in Swedish, Danish, Norwegian, or English.
A small transaction can qualify for simplified invoicing when the total does not exceed SEK 4,000 including VAT, but the invoice still needs enough information to identify the seller, transaction type, VAT, and amount. A public-sector procurement invoice needs a separate check: since April 1, 2019, those invoices must comply with the European e-invoicing standard, and a PDF is not treated as a compliant e-invoice.
A one-off downloadable invoice is enough for a simple job, a small sale, or a corrected document that you can verify line by line. It gives you a clean file, but it does not preserve the working trail behind the bill: approved time, non-billable exclusions, rate decisions, project costs, and who reviewed the invoice before sending it.
