Building invoices clients can approve

Create a client-ready invoice

Use this page to create an invoice that looks complete before it reaches a client, bookkeeper, or accounts payable inbox. A professional invoice identifies the seller and buyer, assigns a clear invoice number, states issue and due dates, lists the work or goods sold, shows payment terms, and gives the buyer a direct place to send payment.

A United States private-sector invoice does not follow one federally prescribed format for ordinary business records. The IRS treats invoices as supporting documents that help show gross receipts, income, and expenses. That still leaves practical standards: consistent numbering, complete contact details, itemized charges, and a tax line that reflects the sale instead of a generic flat add-on.

Include the right invoice fields

A complete invoice starts with seller name and address, buyer name and address, invoice date, invoice number, payment due date, payment terms, and remit-to details. Line items should describe the work or goods clearly, then show quantity, rate, and extended amount. A design project line can read "Homepage wireframes, 12 hours × $95, $1,140" instead of "Design work."

The tax line deserves separate attention. The United States has no national VAT or GST invoice regime, and sales and use tax comes from state and local rules. A seller may need a state sales-tax account or seller permit where required, but there is no United States VAT/GST registration number to place on every invoice.

Make the invoice look professional

Professional presentation comes from precision, not decoration. Use one invoice number sequence, readable line-item descriptions, a visible total, clear payment instructions, and a due date that matches the contract or policy. Avoid mixing receipts, estimates, quotes, and invoices. An invoice requests payment, a receipt proves payment received, and an estimate or quote gives a pre-work price offer.

Sales tax accuracy is part of the same standard. Washington, for example, has a 6.5% state sales tax portion plus a local portion that varies by city or county and is based on where the customer receives the goods or services. Service taxability also varies by state and service type, so professional invoices apply the relevant rule instead of copying one rate across every buyer.

Move beyond one-off invoices

A free invoice is enough for a single job, a quick client request, or a small batch of invoices built from already verified totals. It works when the hours, rates, expenses, tax treatment, and payment terms are already settled. The result should be a downloadable document with no missing approval details.

A managed workflow matters once invoices depend on tracked billable time, non-billable exclusions, project rates, and approval history. Everhour can separate billable and non-billable time by project, task, and member-rate settings, then report billable time, non-billable time, billable amount, and cost. That prevents re-keying when client billing starts from team activity.

Frequently Asked Questions

What details make an invoice professional enough for approval?

A professional invoice includes seller and buyer details, a unique invoice number, issue date, due date, line items with quantity and rate, subtotal, applicable tax line, total, payment terms, and remit-to details. The buyer should be able to confirm who billed them, what they bought, how the amount was calculated, and where payment should go.

Does a United States business invoice need a VAT or GST number?

A United States business invoice does not need a national VAT or GST number because the United States does not use a national VAT or GST invoice regime. Sellers that make taxable sales may need state-level sales-tax registration, such as a seller's permit in California for retailers engaged in business in California selling taxable tangible personal property.

How should sales tax be shown on a professional invoice?

Show sales tax as a separate line when the sale is taxable and the seller is responsible for collecting it. The rate must follow the applicable state and local rules, product or service taxability, nexus, and place of sale. A professional invoice should not use a placeholder tax rate when the buyer's jurisdiction requires a specific calculation.

Is a federal contract invoice different from a private invoice?

A federal contract invoice follows stricter rules. FAR 32.905 defines a proper invoice with fields such as contractor name and address, invoice date and number, contract or order references, descriptions, quantities, unit and extended prices, payment terms, payee details, contact details, and TIN or EFT banking data when agency procedures require them.

Can a professional invoice use cash-only payment terms?

A private business can set payment methods by policy or contract unless state law says otherwise. United States coins and currency are legal tender for debts, public charges, taxes, and dues, but the Federal Reserve states that no federal statute requires private businesses to accept cash for goods or services.

How does Everhour separate billable and non-billable invoice time?

Everhour lets admins set project billing status, mark specific tasks as non-billable, use custom task rates, and make a member's project time non-billable with a $0 member rate. Reports can show billable time, non-billable time, billable amount, and cost before an invoice is prepared.

How does Everhour support invoice billing after time is approved?

Everhour Billing & Invoicing can turn uninvoiced billable time and expenses into client invoices, excluding non-billable work. Invoice line items can be grouped by project, task, person, date, or another available breakdown so the client sees the structure they expect.

Turn tracked work into invoices

Track billable and non-billable work before billing starts. Everhour gives teams clean rate, task, and project data that supports accurate client invoices.
