Czech invoice records that hold up

Create a Czech client invoice

Use this page when you need to prepare an invoice for work sold to a Czech client or issued by a Czech business. The finished invoice should identify the seller and buyer, describe the supplied goods or services, show dates clearly, and separate commercial totals from VAT details where VAT applies. For a VAT tax document, the Czech VAT Act controls the core fields.

The app should support routine invoice work first: service lines, prices, discounts, payment terms, and a document number you can match to records. Czech VAT tax documents need an evidenční číslo daňového dokladu, which functions as the VAT document number. The invoice also needs the issue date and the supply date or advance-payment date when that differs from the issue date.

Build the required VAT details

A Czech VAT tax document must identify the person making the supply and the person receiving it. Include tax identification numbers where assigned. The required identification means the business name or name, any name supplement, and registered office, so do not rely on a short trading name when the legal identity is different.

The taxable line detail matters as much as the party data. State the scope and subject of the supply, unit price net of tax, any discount excluded from that unit price, tax base, VAT rate, and VAT amount. Czech VAT uses a 21% standard rate and a 12% reduced rate. The VAT amount on the tax document must be stated in Czech currency, even when the commercial price is shown in another currency.

Avoid Czech invoice mistakes

The most common Czech Republic invoice mistake is treating a normal commercial invoice and a VAT tax document as the same checklist. A non-VAT seller still needs a clear invoice for payment and records, but a VAT payer needs the VAT document fields. A taxable person established in the Czech Republic becomes a VAT payer from the following calendar year after domestic turnover exceeds CZK 2,000,000, or from the day after turnover exceeds CZK 2,536,500 in the current calendar year.

Timing and storage also deserve attention. A Czech VAT tax document must generally be issued within 15 days from the day the obligation to declare VAT or declare the supply arises. Paper and electronic tax documents are allowed, but electronic use requires the recipient's consent. Retained documents must stay authentic, complete, and readable for 10 years from the end of the tax period in which the supply took place.

Move from one invoice to billing

A free invoice app is enough for a one-off Czech Republic invoice when you already know the buyer, supply details, tax rate, VAT amount in CZK, and payment terms. It also works when you need a clean PDF for a small service job and your records already live elsewhere. Keep the final document readable, numbered, and stored with the contract or order.

A managed workflow becomes better when billable time, rates, and approvals create the invoice amount. Everhour separates cost and billable rates, supports per-person defaults and per-project overrides, keeps dated rate history, and prices billable work by project, member, or task. That structure gives agencies and service teams a cleaner path from approved work to client billing without rebuilding totals by hand.

Frequently Asked Questions

Which fields belong on a Czech VAT tax document?

A Czech VAT tax document needs seller and buyer identification, tax IDs where assigned, an evidentiary tax-document number, issue date, supply date or advance-payment date when different, supply description, unit price, tax base, VAT rate, and VAT amount. The VAT amount must be stated in Czech currency.

Which Czech VAT rate should an invoice app use?

Use the 21% standard VAT rate unless the Czech VAT Act provides a listed reduced treatment for the supplied goods or services. The reduced rate is 12%. VAT for supplies of goods and services is calculated as tax base multiplied by the applicable VAT rate, or from a tax-inclusive amount using coefficients 1.21 or 1.12.

Can a Czech invoice be issued electronically?

A Czech tax document can be paper or electronic. An electronic tax document is issued and received electronically, and its use requires the recipient's consent. The issuer and keeper must preserve authenticity, integrity, and readability during the required retention period.

Does a foreign-language Czech invoice need translation?

A Czech VAT tax document can be issued in a foreign language, but the keeper must provide a Czech translation when the tax administrator requests it. Use clear field labels and consistent amounts so the invoice remains understandable before any formal translation request.

Which payment term is normal for Czech Republic invoices?

Under the EU late-payment framework applicable to Member States, public authorities generally pay commercial invoices within 30 calendar days. B2B payment periods should not exceed 60 calendar days unless the parties expressly agree otherwise and the term is not grossly unfair to the creditor.

How does Everhour handle Czech invoice rates for client work?

Everhour separates internal cost rates from client-facing billable rates, so reports can calculate labor cost, revenue, and profit before invoicing. Teams can use default per-person rates, project overrides, dated rate changes, and project, member, or custom task rates for different client billing models.

How does Everhour turn approved work into invoices?

Everhour Billing & Invoicing can generate invoices from uninvoiced billable time and expenses, then group line items by project, task, person, date, or another available breakdown. After invoicing, Everhour marks the time as invoiced so the same work does not appear on a later invoice.

Turn Czech work into invoices

Set rates once, keep dated changes, and price client work by project, member, or task. Everhour gives service teams cleaner billing records from approved time.
