The document should identify the seller, identify the buyer, describe the charge, state the amount due, and explain the payment deadline. The United States has no single federal private-sector invoice form and no national VAT or GST invoice regime. For ordinary businesses, the invoice mainly serves as a supporting record and contract document. IRS Publication 583 lists invoices among documents that support business transactions and show gross receipts, so the template should make income, customer, date, and payment details easy to verify later.

Include fields clients can approve

A practical entrepreneur invoice includes your business name and address, client name and address, invoice number, issue date, due date, item descriptions, quantities, rates, subtotal, tax line when applicable, total due, payment terms, and remittance details. Sequential invoice numbers reduce duplicate records and make it easier to answer a client question about a specific charge.

Line items should show exactly what the client bought. For services, use descriptions such as "Website consultation, March 2026, 6 hours at $125 per hour" instead of a vague label like "consulting." For products, include the item name, quantity, unit price, and extended price. If the buyer issued a purchase order or signed an agreement, include that reference so accounting can match the invoice without extra email.

Handle tax and payment terms

Sales and use tax in the United States depends on state and local rules, nexus, product or service taxability, and the place of sale. There is no single national sales-tax rate. Washington, for example, has a 6.5% state portion plus a local portion that varies by city or county and is collected based on where the customer receives the goods or services.

Service taxability also changes by state and service type. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services. Entrepreneurs should avoid treating every invoice as taxable by default. The tax line should reflect the sale, the buyer location, and the seller's registration duties, including any state seller permit or sales-tax account where required.
