A CEO invoice template is for executive consulting, interim leadership, board advisory, strategic planning, investor support, and similar high-level work. The document should show who provided the service, who owes payment, which engagement the charge belongs to, and the commercial terms attached to it. A client should not need a separate email thread to understand the amount due.
Use the template to create an invoice, not a receipt, estimate, or quote. An invoice requests payment for work performed or billed under an agreement. A receipt confirms payment received. An estimate or quote gives pricing before the work begins. Keeping those documents separate helps bookkeeping, contract review, and client approval stay clean.
A complete invoice includes seller and buyer names, addresses, contact details, a unique invoice number, issue date, due date, service dates, line items, subtotal, tax line when applicable, total due, payment terms, and remit-to details. Line items should describe the executive service in plain terms, such as "Interim CEO advisory, March 1-15, 2026, 12 hours at $350."
United States private-sector invoices do not follow one prescribed federal form. For federal tax records, businesses may choose a recordkeeping system suited to the business if it clearly shows income and expenses, and invoices serve as supporting documents. Federal contracts are different: FAR rules define proper invoice fields, including contractor details, invoice date and number, contract references, descriptions, quantities, unit and extended prices, payment terms, and required payee details.
Executive work often mixes hourly advisory time, fixed monthly retainers, milestone fees, and reimbursable expenses. Put each fee type on its own line so the client can connect the charge to the agreement. A retainer line should name the covered period. A milestone line should name the deliverable. An expense line should describe the cost and attach backup outside the invoice when the client requires it.
Sales tax treatment belongs in the tax line, not in guesswork. The United States has no national VAT or GST invoice regime, and there is no single national sales tax rate. State and local sales and use tax rules depend on nexus, the buyer's location, and whether the specific service is taxable. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services.
A free invoice template is enough when you need one clean document for a small advisory engagement, a board fee, or a short consulting project. It works best when the time, rate, tax treatment, terms, and payment instructions are already decided. An executive services invoice should include the provider, client, invoice number, issue date, due date, service period, line items, rate or fee basis, subtotal, tax line when applicable, total due, payment terms, and remit-to details. A short description such as "CEO transition planning" works only when the engagement agreement already defines the scope.
The invoice should follow the contract. Hourly advisory work needs dates, hours, rates, and a clear service description. Milestone billing needs the milestone name and completion basis. Retainer billing needs the covered period and any included services. Mixing those formats on one vague line makes approval and bookkeeping harder.
