A useful entry ties each hour to a task, person, date, time range, duration, billable status, and short description. Billable work moves toward the invoice. Keep the billing record closer to the work than to the invoice. Team members choose the task they worked on, mark whether the entry is billable, and add enough context for a reviewer to understand the charge. Mark an entry billable only when the client agreement says the work is chargeable. Include production work, approved calls, research, QA, or revisions only if the contract or statement of work covers them. Keep internal admin, sales, training, and unapproved rework separate as non-billable so the invoice shows chargeable work and the margin review includes total effort.
A defensible entry names the ClickUp task, person, date, time range, duration, billable status, and a plain description of the work completed. Add tags when they explain the type of work or billing category. Thin entries such as "work" or "updates" slow approval and give clients less context when they review the invoice.
Attach the rate at the level that matches the client agreement. Use a project rate when all hours share one price, member rates when people bill differently, and task rates when work types carry separate charges. Keep cost rates separate from billable rates so internal profit review does not alter the amount charged to the client.
