Track your budget through time or costs
Every report you need — configured your way, always up to date.
Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
Use this page when you need a clean time report for work organized in ClickUp: last week's client hours, a month-end cost review, a project status update, or a billing check before finance closes the period. Start from the question the report must answer. A project owner needs totals by task and member. A client needs billable work by date range. A manager needs labor cost and non-billable effort in the same view.
A useful output gives someone a short report they can act on instead of every timer entry. Keep the ClickUp structure visible, then group the time by the level that matches the decision: project for scope, task for delivery detail, member for workload, client for account review, and date range for cadence. Add billable status when the report supports billing, margin, or utilization decisions.
Each report needs three choices: date range, grouping, and columns. Use a weekly range for operational review, a monthly range for billing and management reporting, and a custom range for project closeout. Group by project to see scope consumption, by task to explain delivery, by member to review workload, by client to review accounts, and by date to find spikes or gaps.
Column choice should answer the review question. For billing, include billable time, non-billable time, billable amount, and invoice status. For cost review, include labor cost, revenue, profit, and budget metrics. For delivery analysis, include task, project, member, comments, tags, and integration custom fields. Keep billable and non-billable time in the same report when the reviewer needs total effort, margin, or unpaid support load.
Weekly reports should catch corrections while the work is fresh. Use them to review missing days, unusually large daily totals, non-billable tasks inside billable projects, and tasks with time but no comment. A weekly format works best when grouped by member or task, because managers can approve or query the detail before it rolls into monthly billing, budget review, or a stakeholder status update.
Monthly reports should be tighter and less conversational. Use project, client, and billable status groupings so finance, account leads, and owners see the totals that drive invoices, margins, and retainers. Export a PDF for a client summary, Excel/XLSX for spreadsheet review, or CSV for archival and import workflows. A standing dashboard helps internal reviewers, while an export works better for people who do not work in the tool every day.
A one-off report is enough when you need a quick answer for a single date range: this week's hours by task, a client summary for one invoice, or a cost snapshot before a project call. Export the result, store it with the review notes, and keep the scope narrow. Rebuilding the same spreadsheet every Friday signals that the workflow has outgrown a manual pull.
Everhour fits the managed version of that workflow: team members track time from embedded ClickUp controls, submitted time can be approved, and the approved records feed saved reports. Project leads can review billable and non-billable time, cost, budget metrics, and client totals without re-keying the same fields. Exports then serve finance, clients, and owners who need the report outside the day-to-day workspace.

Start with the person asking the question. Project grouping answers scope and budget review. Task grouping explains where time went. Member grouping shows workload and approval follow-up. Client grouping supports account review. Date grouping shows trend, spike, or missing-entry patterns. A report can use more than one grouping, but the first grouping should match the decision.
Keep them together when the reader needs total effort, margin, utilization, or a full status picture. Use a billable-only view only for invoice preparation; it hides internal review, project management, and support time. Separate columns or filters for billable time and non-billable time show both client chargeability and actual workload.
Use a seven-day workweek that matches the team's review cycle, then compare the same span each week. Weekly reports are for correction and approval, so the best fields are member, task, date, comments, and billable status. Large totals, blank comments, and missing task context should be fixed before the month-end report turns those entries into billing or cost history.
Use PDF for a fixed summary that should not change after sending. Use Excel/XLSX when the recipient needs sorting, formulas, or extra review columns. Use CSV when the data needs to move into another system or archive. Keep the exported file aligned with the same date range and grouping used in the source report.
The most common mistake is mixing review questions in one table. A client billing report, a team workload report, and a project profitability report need different columns and groupings. Another mistake is excluding non-billable time from status reporting, which makes total effort look smaller than it was and hides unpaid work that still affected delivery.
Everhour Reporting gives ClickUp workflows a configurable report builder with 45+ columns, filters, grouping, date ranges, and export formats. A project lead can build a saved view by project, task, member, client, billable time, labor cost, budget metric, or invoice status, then share or export the report.
Everhour Timesheets lets team members submit weekly project hours for approval, and managers can approve, reject, or partially approve entries before reports use them. Submitted and approved time is locked for regular members, which keeps the reporting period stable after review.
Build standing ClickUp reports from approved time with columns, grouping, date ranges, and scheduled exports. Everhour keeps project, cost, billable, and client views ready for every review cycle.
