Track your budget through time or costs
Every report you need — configured your way, always up to date.
Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
Use a Space time report when you need a compact view of work across one ClickUp workflow area. The Space gives the report its boundary, while Folders, Lists, tasks, subtasks, assignees, status, tags, and custom fields give the detail. The practical goal is a report that shows where time went, which work drove cost, and which totals need review before billing, budget review, or stakeholder updates.
A Space-level report works best when the audience is clear before you pull the numbers. A project lead needs task and member detail. A finance reviewer needs billable time, non-billable time, billable amount, and cost. A client update usually needs a tighter summary by project, task group, date range, or invoice status, with internal cost fields removed when they do not belong in the shared version.
Each time entry needs enough context to survive review: duration, person, date or time range, task, billable status, description, and tags when tags drive reporting. ClickUp task structure supplies the work context, including Space, Folder, Subfolder, List, task, subtask, status, tags, and custom fields. Everhour adds the reporting layer when ClickUp tasks are tracked through embedded controls and recorded into the Everhour timesheet.
Choose the Everhour project mapping before reports become routine. Lists work well when each List represents a client deliverable, phase, or workstream. Folders work better when several Lists need one budget, rate setup, or billing method. That decision controls how Space time rolls up later, because the report inherits project, task, parent task, section or list, task number, status, tags, and custom fields from the connected ClickUp work.
A Space time report should not use one grouping for every audience. Group by project when the question is budget progress. Group by task when the question is delivery effort. Group by member when the question is workload or accountability. Group by client when the question is billing exposure. Group by date range when the question is weekly movement, monthly burn, or what changed since the last status update.
Billable and non-billable time belong in the same review view when the work affects client economics. Non-billable discovery, rework, admin, and internal review can explain why cost rises while invoice value stays flat. A report that hides non-billable time gives a cleaner number and a weaker explanation. A report that separates billable amount from cost shows the commercial result without forcing the reader to rebuild the math elsewhere.
A one-off report is enough when you need a quick Space summary for a meeting, a client note, or a manager check. Pull the date range, choose the right breakdown, export the result, and keep the scope narrow. This works when the report does not need approvals, repeat delivery, rate history, budget thresholds, or a durable audit trail for later billing and cost review.
A managed workflow fits teams that rebuild the same spreadsheet every week or month. Everhour can keep approved time connected to ClickUp tasks, separate billable and non-billable work, apply project billing status, exclude task-level non-billable entries, use custom task rates, and expose Billable Time, Non-Billable Time, Billable Amount, and Cost in admin reports. Exports then become handoffs, not the system of record.

A ClickUp Space time report should show the Space boundary, date range, project or workstream, task detail, member, billable status, and the totals needed for the audience. Add cost, billable amount, invoice status, tags, and custom fields when the report supports finance review. Remove internal money columns from client-facing exports unless the client agreement requires that detail.
Use a weekly date range first, then group by project, List, task, or member based on the status question. Project grouping shows budget movement. Task grouping shows delivery progress. Member grouping shows ownership. A weekly stakeholder report usually needs totals, notable overages, and billable versus non-billable separation, not every raw time entry.
Mixed billing treatment creates misleading cost totals. A billable project with internal tasks, rework, or admin time needs those entries marked correctly, or the report overstates invoice-ready work. A fixed-fee project still needs cost visibility, because non-billable time affects margin even when the client invoice amount stays unchanged.
Include subtasks when they carry tracked work or explain where effort happened. Parent-task context keeps subtask time readable in exports, especially when several subtasks share similar names. A report that drops parent context can still total hours correctly, but the reviewer loses the work trail needed to approve billing, budget changes, or delivery explanations.
Weekly review catches missing entries, incorrect billable status, and task mismatches before memory fades. Monthly review works for higher-level cost, billing, and trend analysis. Teams that invoice by time or report budget burn should review weekly and close each period before exporting client or finance summaries.
Everhour lets admins set project billing status, mark specific tasks non-billable inside billable projects, apply custom task rates, and use member-rate exceptions. Admin reports can include Billable Time, Non-Billable Time, Billable Amount, and Cost, so a ClickUp Space review can show both invoice value and internal labor cost.
Everhour reports can be exported as CSV, Excel/XLSX, or PDF for spreadsheet review, client sharing, or archive records. Saved reports can also be sent by email once or scheduled for recurring delivery, giving finance leads and stakeholders a repeatable Space summary without requiring them to work inside the project view.
Track approved ClickUp work in Everhour, separate billable and non-billable time, and export the report your reviewers need with cost and billing context intact.
