Track your budget through time or costs
Every report you need — configured your way, always up to date.
Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
A ClickUp List is a practical budget lens when the work inside it shares one commercial target, delivery phase, client scope, or internal cost cap. Tasks and subtasks hold the work details, while the budget review needs one consistent boundary. In Everhour, that boundary works cleanly when ClickUp Lists are synced as Everhour projects.
Start by deciding whether the List should carry an hour budget or a money budget. An hour budget fits delivery capacity, sprint work, or internal effort caps. A money budget fits fixed-fee work, retainers, and client spend limits. The useful result is a current view of planned scope, tracked time, cost, remaining budget, and items pushing the List over plan.
Budget tracking gets useful only after logged time has a cost or billing basis. Everhour separates internal cost rates from client-facing billable rates, so the same ClickUp task time can support cost review, billing review, and profitability reporting without treating every hour as revenue. Project, person, and custom task rates cover common billing structures.
For example, a List for a website launch can use a fixed-fee budget while individual tasks collect time from design, engineering, and QA. Non-billable tasks can stay visible in cost reporting while staying out of billable totals. That distinction matters when a List looks profitable on billable work but is losing margin through internal review, rework, or project management time.
A useful List budget view compares the target with actual logged time and remaining budget while work is still active. Waiting until month end turns the report into history. Set review points around the way the work burns budget: daily for short delivery cycles, weekly for retainers, and at milestone changes for fixed-scope client work.
Admin-configured threshold alerts give the budget owner time to act before the List overruns. Everhour budget alerts can notify selected admins at any percentage they set, so a team can review scope at 60%, warn the delivery lead at 85%, and automatically stop running timers and prevent additional time logging after the budget is exceeded when budget protection is enabled.
A one-off budget check is enough when you need a quick read on one ClickUp List, one date range, or one client conversation. The minimum inputs are the synced List, the budget target, logged time, rates, billable status, and any non-billable exclusions that change the final number.
A managed workflow becomes necessary when the same List budget needs recurring review, alert thresholds, approved time, and reports that survive handoffs. Everhour keeps time entries tied to ClickUp task context, then reports by project, member, task, billable time, cost, budget metrics, and synced fields, so the budget owner can review the same numbers repeatedly instead of rebuilding a spreadsheet.

Choose a List when the tasks share one budget owner, client scope, phase, or delivery commitment. Mixed work weakens the review because cost, remaining budget, and overrun signals point to several decisions at once. If a Folder represents the real commercial boundary, sync Folders as Everhour projects instead and review the budget at that level.
A useful review includes the budget target, tracked hours, cost rate basis, billable amount when applicable, non-billable time, remaining budget, and work that has crossed estimates. Task names, assignees, statuses, tags, and custom fields add context, but the budget decision comes from planned versus actual consumption and the money or hours left.
Use an hour budget when the main constraint is capacity, delivery effort, or an internal time allowance. Use a money budget when the List is tied to a fixed fee, client spend limit, retainer, or profitability target. The wrong budget type creates noisy alerts because the review measures a constraint the team is not managing.
Late or incomplete time entry makes alerts fire after the budget risk has already happened. A threshold warning has value only when logged time reflects current work. Require entries on the task where the work happened, keep billable and non-billable status accurate, and review unusual entries before relying on remaining budget.
Everhour sends budget notifications to selected admins when the synced project reaches the percentage thresholds the admin configured. The percentages are not fixed presets. A team can use different thresholds for a short sprint List, a monthly retainer List, and a fixed-fee delivery List based on how much reaction time each budget needs.
Everhour Reporting lets admins build reports with 45+ columns, filters, grouping, date ranges, and exports, including budget metrics, labor costs, billable time, profit, task, project, client, member, and synced ClickUp fields. That gives budget owners a repeatable List review instead of a manual status check.
Everhour embeds tracking controls in ClickUp tasks through the browser extension, so people log time while staying with the task they are working on. The tracked time is recorded in Everhour timesheets and tied to synced ClickUp task and project context for budget review.
Track ClickUp List work with Everhour Reporting, budget thresholds, rates, and task-level time context, so budget owners see remaining spend before overruns become final.
