An hourly rate calculation for Xero answers one pricing question: the billable rate you need before you enter time into Xero Projects, Xero Practice Manager, or an invoice workflow. The calculation starts outside Xero because Xero applies the rate to time entries and invoice lines. It does not decide whether your target income, overhead, benefits substitute, and tax reserve are high enough.
In Xero invoices, billable hours map to Quantity and the hourly rate maps to UnitAmount. The line amount follows Quantity × UnitAmount, adjusted for any line discount. A Xero invoice line can also carry Description, AccountCode, TaxType, and Tracking, so the rate calculation feeds the billing field while accounting categories handle revenue, tax, and reporting.
For U.S. self-employed pricing, use this formula: target income + overhead + benefits substitute + tax reserve, divided by realistic billable hours. Target income is the amount you want to pay yourself. Overhead includes ordinary and necessary business expenses. Benefits substitute covers items an employer would otherwise fund. Tax reserve covers federal self-employment and income-tax planning before you divide by billable hours.
Example: a consultant wants $95,000 in income, expects $18,000 in overhead, adds $12,000 for benefits replacement, and sets aside $25,000 for taxes. Total required revenue is $150,000. If 1,500 hours are realistically billable during the year, the required hourly rate is $100.00. In Xero, 37 billable hours at a $100.00 UnitAmount creates a $3,700.00 line before discounts or tax treatment.
Xero Projects supports hourly-rate, fixed-price, and non-chargeable tasks. Assign hourly-rate tasks only when time should become billable hours. Fixed-price work needs a different pricing decision, and non-chargeable time should stay out of hourly revenue. This distinction prevents project time from flowing into invoices at the wrong rate or appearing as chargeable work that the client should not see.
Xero Practice Manager can use staff-based or task-based default invoicing rates. Actual cost uses actual time multiplied by the staff base rate, while calculated invoiced amount uses actual time multiplied by the selected staff or task billable rate. Keep cost rates and billable rates separate. A staff cost rate supports profitability analysis, while the billable rate becomes the customer-facing price.
A one-off calculator is enough when you need a rate for a proposal, a new service line, or a quick check before setting a Xero task rate. After the rate is chosen, Xero handles the invoice math through Quantity and UnitAmount. The remaining work is operational: select chargeable time, confirm tax treatment, apply any discount, and map the invoice line to the right account and tracking categories.

Xero applies the rate you provide. In Xero invoices, hours appear as Quantity and the hourly rate appears as UnitAmount. Xero then calculates the line amount from those fields, adjusted for any line discount. The business pricing decision still comes from your income target, overhead, benefits substitute, tax reserve, and realistic billable hours.
The hourly rate belongs in UnitAmount on the invoice line. The service description, revenue account, tax type, and tracking categories belong in their own line fields. Mixing those roles creates messy reports because rate math, tax treatment, and accounting classification answer different questions.
Cost rate and billable rate serve different purposes. A Xero Projects staff cost rate represents internal hourly cost for project costing and profitability. The billable rate is the customer-facing price used to calculate invoice value. Equal rates leave no room for overhead, benefits substitute, tax reserves, non-billable time, or profit.
Changing quantity or unit price on a Xero Projects invoice updates the project's invoiced total. The source uninvoiced time-and-expenses total is not recalculated from that invoice edit. Correct the source time or expense data when you need the project record and invoice record to stay aligned.
A U.S. sole proprietor or independent contractor generally reports business profit or loss on Schedule C and calculates Social Security and Medicare taxes on Schedule SE. For 2026 estimated tax, net self-employment profit is multiplied by 92.35%, then Social Security applies up to the $184,500 wage base and Medicare applies without that wage cap.
