The Xero workflow starts with client records. Existing Xero contacts can sync into Everhour as clients, projects can be assigned to those clients, and invoices built from billable hours and expenses can be copied back to Xero as draft invoices. That matters because accounting review stays in Xero while the work record stays tied to the project where the time was logged.
A useful time record needs more than a total. It should show the client, project, task or work description, date range, person, billable status, quantity of time, and billing rate. For U.S. payroll review, records for employees covered by the FLSA minimum wage or overtime provisions must include hours worked each workday and total hours worked each workweek.
Xero invoice lines turn that work detail into accounting fields. A line item can carry a description, quantity, unit amount, account code, tax type, line amount, and optional tracking categories. For time billing, quantity usually represents hours and unit amount represents the hourly rate. Xero calculates line amount as quantity times unit amount, adjusted for DiscountRate or DiscountAmount when discounts apply.
Xero is the system of record for invoices after export. An invoice copied from Everhour lands in Xero as a draft, then can move through Xero statuses such as DRAFT, SUBMITTED, AUTHORISED, PAID, VOIDED, or DELETED. The exported invoice also has Xero fields such as contact, issue date, due date, invoice number, currency code, subtotal, tax, total, amount due, and amount paid.
The common mistake is treating invoice status sync as time approval. Status, invoice number, issue date, and amount help you see what happened after export, but they do not prove that every time entry was reviewed before billing. Approve the weekly project hours first, then export the invoice. After the accounting team changes the Xero draft, Xero owns the invoice lifecycle.
A one-off time sheet is enough when one person needs to total a small batch of billable hours, create a simple client invoice, and keep a local copy. That approach still needs clean descriptions, accurate hours, USD billing rates for U.S. invoices, and a record retention habit. Federal rules require covered employers to preserve payroll records for at least three years and basic time and earnings records for at least two years.
