Time records that support Xero billing

Track billable work for Xero

This page is for teams that track project time and send client billing through Xero. The practical job is simple: capture billable hours by person, task, project, and client, then turn approved time into invoice-ready detail that can be reviewed in accounting. Xero handles the contact, invoice, tax, status, and payment record. The time tracker supplies the hours and billing context.

The Xero workflow starts with client records. Existing Xero contacts can sync into Everhour as clients, projects can be assigned to those clients, and invoices built from billable hours and expenses can be copied back to Xero as draft invoices. That matters because accounting review stays in Xero while the work record stays tied to the project where the time was logged.

Build invoice-ready time lines

A useful time record needs more than a total. It should show the client, project, task or work description, date range, person, billable status, quantity of time, and billing rate. For U.S. payroll review, records for employees covered by the FLSA minimum wage or overtime provisions must include hours worked each workday and total hours worked each workweek.

Xero invoice lines turn that work detail into accounting fields. A line item can carry a description, quantity, unit amount, account code, tax type, line amount, and optional tracking categories. For time billing, quantity usually represents hours and unit amount represents the hourly rate. Xero calculates line amount as quantity times unit amount, adjusted for DiscountRate or DiscountAmount when discounts apply.

Keep the accounting boundary clear

Xero is the system of record for invoices after export. An invoice copied from Everhour lands in Xero as a draft, then can move through Xero statuses such as DRAFT, SUBMITTED, AUTHORISED, PAID, VOIDED, or DELETED. The exported invoice also has Xero fields such as contact, issue date, due date, invoice number, currency code, subtotal, tax, total, amount due, and amount paid.

The common mistake is treating invoice status sync as time approval. Status, invoice number, issue date, and amount help you see what happened after export, but they do not prove that every time entry was reviewed before billing. Approve the weekly project hours first, then export the invoice. After the accounting team changes the Xero draft, Xero owns the invoice lifecycle.

Match the tool to the workflow

A one-off time sheet is enough when one person needs to total a small batch of billable hours, create a simple client invoice, and keep a local copy. That approach still needs clean descriptions, accurate hours, USD billing rates for U.S. invoices, and a record retention habit. Federal rules require covered employers to preserve payroll records for at least three years and basic time and earnings records for at least two years.

A managed workflow fits teams that need approval before billing, locked periods, client-level reporting, and a clean handoff to Xero. Everhour Timesheets collect weekly project hours and working hours, let users submit time, and let admins approve, reject, partially approve, or lock entries before invoice export. That keeps the billing file tied to a reviewed time record instead of a last-minute spreadsheet.

Frequently Asked Questions

Does Xero replace a time tracker?

Xero stores accounting records and invoices, while a time tracker captures the work behind billable lines. For this workflow, Xero receives invoice data such as contact, dates, currency, tax, totals, and status. The time tracking system supplies project hours, task descriptions, billable status, and rates before the invoice becomes an accounting record.

Which Xero fields matter for billing tracked time?

The most important Xero invoice fields are contact, line items, issue date, due date, currency code, account code, tax type, subtotal, tax, total, amount due, and status. For each billable time line, the description, quantity, and unit amount carry the practical billing detail. Quantity times unit amount produces the line amount, adjusted for any discount.

Should time be approved before sending an invoice to Xero?

Approve time before export when multiple people log hours, rates vary by project, or clients require backup detail. Xero can show that an invoice is DRAFT, AUTHORISED, or PAID, but that status does not confirm that the underlying hours were correct. Approval should happen while entries still show the task, person, date, and project context.

Can Xero invoice status prove the hours were worked?

Xero invoice status proves where the invoice sits in the accounting workflow, not whether the hours were worked. A PAID invoice confirms payment status. It does not verify daily hours, weekly totals, task notes, or manager approval. Keep the time record and the invoice record connected so billing, payroll review, and later questions use the same source detail.

Which U.S. time rules affect Xero billing records?

Covered employers must keep accurate records for non-exempt workers under the FLSA, including hours worked each workday and total hours worked each workweek. Covered non-exempt employees must receive overtime pay after 40 hours in a fixed 168-hour workweek at at least 1.5 times the regular rate unless exempt. State rules, contracts, and policies can add requirements.

How do Everhour Timesheets support Xero billing review?

Everhour Timesheets collect weekly project hours and working hours by person, then let users submit time for manager review before billing. Admins can approve, reject, partially approve, and lock submitted entries, so billable hours sent toward a Xero draft invoice come from reviewed time instead of unapproved logs.

Approve time before Xero billing

Use Everhour Timesheets to collect, review, approve, and lock weekly project hours before invoice export, giving Xero billing a cleaner source record and Everhour-backed approval trail.
