This page is for teams that use Google Workspace and need time records tied to actual work. Google Workspace includes Gmail, Calendar, Meet, Chat, Drive, Docs, Sheets, Slides, Forms, Sites, and other collaboration apps. A practical setup lets you record time from the place where the work starts, then review those entries before payroll, billing, or project reporting.
For U.S. teams, time tracking also supports wage-and-hour records. The FLSA requires covered employers to keep accurate records for non-exempt workers, including hours worked each workday and total hours worked each workweek. It does not require one specific timekeeping system, so a complete and accurate digital workflow can work when records stay clear, retained, and reviewable.
A Google Workspace time tracking workflow usually has two paths. Website controls can add Start Timer and Add time buttons to Gmail, Google Docs, and Google Sheets pages. Calendar integration can convert timed Google Calendar events into Everhour timesheet entries, using the event title as the time-entry description.
The integration has boundaries. Time started from Gmail, Docs, or Sheets records the page title and a backlink in Everhour, not full task details. Entries from those pages are not task-linked or billable by default. Calendar sync handles timed events with start and end times, while all-day events do not sync into timesheets.
The common mistake is treating a document title as a finished time record. A title and backlink identify the source, but the entry still needs the right project, person, date, duration, and billing status before anyone uses it for invoicing or payroll review. A spreadsheet titled "Client budget update" helps context, but it does not replace project coding.
U.S. overtime review also needs the correct weekly frame. Under the federal baseline, covered nonexempt employees must receive overtime pay for hours worked over 40 in a fixed 168-hour workweek at not less than 1.5 times the regular rate. Hours cannot be averaged across two or more workweeks for FLSA overtime purposes.
A one-off Google Workspace time tracking setup works for a freelancer, a small internal project, or a short client engagement. It is enough when you need a dated record, a description, and an export that explains where the time went. You still need to review entries that came from emails, documents, spreadsheets, and calendar events before billing or payroll use.
A managed workflow becomes necessary when time records feed recurring invoices, approval steps, budget checks, or management reporting. Google Calendar works through a calendar integration that turns timed events into timesheet entries. Google Workspace also includes other apps, such as Drive, Meet, Chat, Slides, Forms, and Sites, but the time tracking workflow centers on supported pages and calendar events.
Google Calendar events can become Everhour timesheet entries when the calendar integration is connected by a team admin. The event must have a start time and an end time. All-day events are excluded. The admin also chooses whether entries appear before or after the event, within a range from 15 minutes to 3 hours.
Entries created from Gmail, Google Docs, and Google Sheets are treated as time tracked without a task. They do not become billable until you move them to an existing internal or connected project task. That extra step matters when the same workspace activity includes both client work and internal administration.
A useful entry should show the date, person, duration, source title, project, and billing status. For covered nonexempt U.S. workers, employer records must also support hours worked each workday and total hours worked each workweek. A backlink to a document or email helps explain the work, but it does not replace a complete time record.
Google Workspace time tracking can support payroll review when entries are complete, accurate, and retained. Federal rules require payroll records for at least three years and basic time and earnings records, such as daily start and stop time cards or sheets, for at least two years. State rules, contracts, and company policy can add requirements.
