Use this page to prepare a purchase order for a Greek supplier, contractor, or service provider before work starts or goods ship. The finished document should name the buyer, supplier, requested items or services, delivery terms, agreed price, payment terms, purchase order number, and approval contact. It is a control document first: it records authorization before the supplier issues the VAT invoice.
A Greek purchase order should also collect the details that the later invoice needs. Greece uses VAT (ΦΠΑ) inside the EU VAT system, and a full EU VAT invoice includes issue date, sequential invoice number, supplier and customer details, VAT ID where required, line description and quantity, unit price, supply or payment date where different, VAT rate, VAT amount, and a breakdown by rate or exemption.
A purchase order is not the same document as a VAT invoice, so it does not replace the supplier's tax invoice. It should still capture tax identifiers early. For Greek vendors, use the supplier's VAT identification number or Greek TIN, known as AFM, plus the legal business name and address that should appear on the invoice.
Line items need enough detail for invoice matching. A service order might list "Monthly development support, May 2026, 40 hours, €75 per hour, VAT to be applied by supplier if applicable." Goods orders should show quantity, unit price, currency, delivery address, and any agreed discount. Greece's standard VAT rate is 24%, with 6%, 13%, 17%, and 4% rates available for qualifying supplies, so avoid guessing the rate when the supplier must determine it.
Greek invoice handling increasingly depends on electronic reporting. AADE's timologio application supports electronic invoice issuance and real-time transmission of the necessary information to the myDATA platform. A purchase order should therefore make invoice routing clear: the vendor should know the buyer's billing contact, preferred invoice language, purchase order number, and any internal project or department code.
Public-sector purchases need extra attention. For Greek public-sector contracts, the staged obligation for suppliers to submit electronic invoices began on September 12, 2023, with routing through certified e-invoicing providers and PEPPOL-related infrastructure where required. For private purchases, the purchase order should still keep the invoice reference clean so the later electronic invoice can be approved without manual detective work.
A free purchase order template is enough for occasional buying, a single vendor request, or a small service order that needs written approval before the invoice arrives. No. A purchase order records the buyer's authorization before the supplier fulfills the order. The supplier still issues the VAT invoice when invoicing rules require it. Under EU VAT invoicing rules, a business generally must issue a VAT invoice for most B2B supplies, subject to exemptions for some financial, insurance, and other exempt transactions.
