Purchase order details for Greek vendors

Build the order record

Use this page to prepare a purchase order for a Greek supplier, contractor, or service provider before work starts or goods ship. The finished document should name the buyer, supplier, requested items or services, delivery terms, agreed price, payment terms, purchase order number, and approval contact. It is a control document first: it records authorization before the supplier issues the VAT invoice.

A Greek purchase order should also collect the details that the later invoice needs. Greece uses VAT (ΦΠΑ) inside the EU VAT system, and a full EU VAT invoice includes issue date, sequential invoice number, supplier and customer details, VAT ID where required, line description and quantity, unit price, supply or payment date where different, VAT rate, VAT amount, and a breakdown by rate or exemption.

Match tax and supplier fields

A purchase order is not the same document as a VAT invoice, so it does not replace the supplier's tax invoice. It should still capture tax identifiers early. For Greek vendors, use the supplier's VAT identification number or Greek TIN, known as AFM, plus the legal business name and address that should appear on the invoice.

Line items need enough detail for invoice matching. A service order might list "Monthly development support, May 2026, 40 hours, €75 per hour, VAT to be applied by supplier if applicable." Goods orders should show quantity, unit price, currency, delivery address, and any agreed discount. Greece's standard VAT rate is 24%, with 6%, 13%, 17%, and 4% rates available for qualifying supplies, so avoid guessing the rate when the supplier must determine it.

Plan for Greek e-invoicing

Greek invoice handling increasingly depends on electronic reporting. AADE's timologio application supports electronic invoice issuance and real-time transmission of the necessary information to the myDATA platform. A purchase order should therefore make invoice routing clear: the vendor should know the buyer's billing contact, preferred invoice language, purchase order number, and any internal project or department code.

Public-sector purchases need extra attention. For Greek public-sector contracts, the staged obligation for suppliers to submit electronic invoices began on September 12, 2023, with routing through certified e-invoicing providers and PEPPOL-related infrastructure where required. For private purchases, the purchase order should still keep the invoice reference clean so the later electronic invoice can be approved without manual detective work.

Choose template or workflow

A free purchase order template is enough for occasional buying, a single vendor request, or a small service order that needs written approval before the invoice arrives. Fill in the buyer and supplier details, assign a purchase order number, describe each line item, state the payment term, and keep the approved copy with the later invoice.

A managed workflow becomes necessary when purchase orders depend on billable time, expenses, project budgets, or recurring client work. Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates amounts from rates, excludes non-billable work, and exports invoices to QuickBooks Online, Xero, or FreshBooks. That matters when the purchase record, time record, and client invoice need the same underlying numbers.

Frequently Asked Questions

Does a Greece purchase order replace a VAT invoice?

No. A purchase order records the buyer's authorization before the supplier fulfills the order. The supplier still issues the VAT invoice when invoicing rules require it. Under EU VAT invoicing rules, a business generally must issue a VAT invoice for most B2B supplies, subject to exemptions for some financial, insurance, and other exempt transactions.

Which Greek tax identifier belongs on a purchase order?

Use the supplier's VAT identification number or Greek TIN, known as AFM, when the supplier provides it. EU rules require the supplier's VAT identification number on invoices except simplified invoices in some countries, and AADE issues Greek tax identification numbers through its tax-register process. Capturing it on the purchase order reduces invoice matching errors.

Should a Greece purchase order show VAT?

Show VAT only when the rate is agreed and known. Greece's EU VAT-rate table lists a 24% standard VAT rate, reduced rates of 6%, 13%, and 17%, and a 4% super-reduced rate. The applicable rate depends on the goods, services, and any special territorial rule, so the supplier's invoice must apply the correct VAT treatment.

Can a Greek supplier issue the invoice in English?

Yes. AADE's timologio release notes state that document issuance language can be selected as Greek or English. For a purchase order, choose the language that both parties can verify, then keep names, addresses, AFM or VAT identification details, line descriptions, currency, and payment terms consistent with the later invoice.

Which payment term should a Greece purchase order use?

State the agreed payment term directly on the purchase order, such as 14 or 30 calendar days after invoice receipt. Under EU commercial late-payment rules, if the contract does not fix a payment period, interest becomes automatically payable 30 calendar days after the client receives the invoice or payment request, or after delivery if receipt date is unknown.

How does Everhour turn billable work into invoices after a purchase order?

Everhour Billing & Invoicing turns tracked billable time and expenses into client invoices. It calculates invoice amounts from rates, time, and billable expenses while excluding non-billable work, then exports invoices to QuickBooks Online, Xero, or FreshBooks with invoice status, number, issue date, and amount synced back.

How can Everhour keep purchase-related time visible?

Everhour reports can show billable time, non-billable time, billable amount, cost, invoice status, and project details in configurable columns. Teams can group or filter reports by project, member, task, client, and date range, then export them as CSV, Excel/XLSX, or PDF for review.

Turn approved work into invoices

Connect approved time, rates, expenses, and client settings in Everhour, then generate invoices with non-billable work excluded and accounting export handled inside the billing workflow.
