Printable Thai invoice records

What this page is for

Use this page when you need a clean invoice that can be printed, saved as a PDF, or handed to a Thai customer as a business record. The key issue is whether the document is only a commercial invoice or a VAT tax invoice. Thailand uses value added tax on goods, services, and imports, so VAT-registered sellers need the tax-invoice details in the right place.

For VAT-registered businesses, registration generally applies when annual turnover exceeds THB 1.8 million. A VAT registrant must issue a tax invoice and copy for every sale of goods or provision of services at the time VAT liability occurs, provide it to the customer, and keep the copy. A printed version should match the issued invoice exactly, including serial number, issue date, buyer details, and VAT amount.

Build the tax invoice correctly

A full Thai VAT tax invoice must show the words "tax invoice," issuer name, issuer address, issuer taxpayer identification number, buyer name and address, serial number, issue date, and a description of the goods or services. Include type, category, quantity, and value where those details apply. The VAT amount must be separated from the value of the goods or services.

Tax-invoice particulars must be in Thai language, Thai currency, and Thai or Arabic numerals unless the VAT registrant has approval from the Director-General to use a foreign language or currency. If the tax base is expressed in foreign currency, convert it to Thai baht under the Revenue Department conversion rules. Use the Thai money received in the same tax-liability month, or the Bank of Thailand average selling rate on the last working day of that month.

Prepare the printed copy

A printed Thailand invoice needs enough spacing for the buyer to read every tax field without relying on file metadata or email text. Put the serial number and issue date near the top, keep the seller TIN visible, and separate subtotal, VAT, and total amount. The Revenue Department states the current general VAT rate is 7%, while the Revenue Code sets a 10% rate that may be reduced by Royal Decree.

Payment terms belong on the commercial side of the invoice. Thailand's statutory VAT tax-invoice particulars list the issue date, but they do not list a payment due date or payment terms. Add due date, bank details, purchase order number, or project reference when the contract or client process requires them. Keep those terms distinct from the required VAT fields so the printed document stays easy to review.

Move beyond one-off invoices

A free printable invoice is enough for a single job, a manual client request, or a simple sale where you already know the buyer details, tax status, amounts, and VAT treatment. It works when you can enter the invoice once, print it, and store the copy with the rest of the transaction records. The process breaks down when several people log time, change rates, or split work across billable and non-billable tasks.

Everhour fits the managed workflow after the invoice template stops being the hard part. Admins can set project billing status, mark specific tasks as non-billable, apply custom task rates, and report on billable time, non-billable time, billable amount, and cost. That structure gives the invoice preparer cleaner source data before creating a client-facing Thailand invoice and a matching internal billing record.

Frequently Asked Questions

Does a Thailand invoice need to say tax invoice?

A Thai VAT tax invoice must show the words "tax invoice" when the seller is issuing a full VAT tax invoice. A regular commercial invoice can document a request for payment, but a VAT registrant needs the required tax-invoice particulars for VAT purposes. Use the correct label only when the document is meant to serve as the VAT tax invoice.

Which Thai tax number belongs on the invoice?

The issuer's taxpayer identification number belongs on a Thai VAT tax invoice. The Revenue Department's tax-identification rules require taxpayers or income payers to obtain and use a taxpayer identification number, unless an individual may use a personal identification number instead. Buyer details are also required on a full Thai VAT tax invoice, including buyer name and address.

Can a Thailand VAT invoice be printed in English?

Thai VAT tax-invoice particulars must be in Thai language, Thai currency, and Thai or Arabic numerals unless the VAT registrant has approval from the Director-General to use a foreign language or currency. A bilingual layout can help a foreign client read the document, but the required Thai particulars still need to be present unless an approved exception applies.

Should VAT appear as a separate line on a printed Thailand invoice?

VAT should be shown separately from the value of the goods or services on a full Thai VAT tax invoice. The Revenue Department states the current general VAT rate is 7%, while the Revenue Code sets a 10% rate that may be reduced by Royal Decree. Keep subtotal, VAT, and total clearly separated so the printed copy supports both payment review and VAT records.

Can payment terms be omitted from a Thai VAT tax invoice?

Payment terms are contractual, not a listed statutory VAT tax-invoice field in Thailand. The required particulars include the issue date, but they do not list a payment due date or payment terms. Add payment terms when the buyer agreement, purchase order, or internal collections process needs them, especially for credit sales or recurring client work.

How does Everhour separate billable and non-billable time before invoicing?

Everhour supports billable and non-billable time through project billing status, task-level non-billable controls, custom task rates, and member-rate exceptions. Admin reports can show billable time, non-billable time, billable amount, and cost, so invoice preparation starts from categorized work instead of a mixed timesheet.

How can Everhour create invoices from tracked work?

Everhour Billing & Invoicing converts tracked billable time and expenses into client invoices. Users can select uninvoiced time and expenses, preview the breakdown, group line items by project, task, person, or date, and generate an invoice while excluding non-billable work from the billed amount.

Turn tracked work into invoices

Use a printable invoice for one transaction. For recurring client work, Everhour separates billable and non-billable time before billing, giving teams cleaner invoice inputs and clearer cost visibility.
