Every report you need — configured your way, always up to date.
Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
An NGO invoice usually starts with the payer relationship: grant reimbursement, service contract, membership billing, event sponsorship, or program fee. The document should identify the organization, payer, invoice date, invoice number, payment terms, remittance details, and the grant, contract, purchase order, or program reference that lets the payer match the charge to its records.
For grant-funded work, the invoice should line up with the award budget and reporting period. Common lines include personnel, fringe, travel, supplies, subcontractor costs, indirect costs, or approved program expenses. For a consulting-style service contract, the same NGO may invoice by milestone, monthly retainer, or hourly service line, with the scope stated plainly enough for finance review.
U.S. federal award payment requests can use advance payments, reimbursement, or working capital advances, depending on award terms and recipient systems. Reimbursement requests must be paid within 30 calendar days after receipt unless the federal agency or pass-through entity reasonably believes the request is improper. Fixed amount awards can use milestones, unit prices, or completion-based payment triggers set in advance.
Costs charged to U.S. federal awards must be necessary, reasonable, allocable, consistent with award limits and accounting policies, and adequately documented. Personnel costs need records that accurately reflect work performed, especially when an employee works across awards or activities. For nonexempt employees, federal award salary and wage support also needs daily records showing total hours worked.
NGOs often collect money through invoices and charitable gifts, and those records serve different jobs. A service invoice charges for a delivered service, membership, event booth, training session, or reimbursable cost. A charitable contribution receipt supports donor substantiation. For U.S. charitable contributions of $250 or more, the donor needs a contemporaneous written acknowledgment with the organization name, amount or property description, and goods-or-services statement.
Quid pro quo payments need special care. If a U.S. charity receives more than $75 and the payment is partly a contribution and partly for goods or services, it must provide a written disclosure explaining that the deductible amount is limited to the excess over the value received, plus a good-faith estimate of that value. Treat gala tickets, sponsorship packages, and benefit-event charges with that split in mind.
A free invoice tool is enough for a single membership renewal, a small sponsorship invoice, or a simple service charge where the details already sit in one place. It becomes fragile when the NGO needs award identifiers, cost categories, timesheet support, reimbursable expenses, indirect cost treatment, and a record trail that survives finance review, funder questions, or audit preparation.
Everhour Billing & Invoicing turns tracked billable time and expenses into invoices, calculates amounts from rates while excluding non-billable tasks, and supports client settings, invoice customization, and exports to QuickBooks Online, Xero, or FreshBooks. That workflow fits NGOs that need time and expense records to feed billing instead of rebuilding payment requests from spreadsheets.

NGO invoice software should capture organization and payer details, invoice date and number, payment terms, remittance information, line items, taxes when applicable, and references such as grant number, contract, purchase order, program, or event. Grant invoices also need cost categories, billing period, and documentation links that support the requested amount.
Grant invoices usually follow the award budget, approved cost categories, payment method, and reporting period. A regular service invoice focuses on the service sold, rate, quantity, and payment terms. For U.S. federal awards, charged costs must be necessary, reasonable, allocable, consistent with award limits and accounting policies, and adequately documented.
The United States has no national VAT or GST invoice regime. State and local sales and use tax rules control whether a sale is taxable, and service taxability varies by state and service type. An NGO should apply the rule for the product or service sold, the place of sale, nexus, and any exemption documentation.
Charitable contributions usually need acknowledgments rather than ordinary sales invoices when tax substantiation is involved. For U.S. gifts of $250 or more, the donor needs a contemporaneous written acknowledgment with required donation details. A payment over $75 that partly buys goods or services also needs a quid pro quo disclosure.
Weak support for personnel and shared costs creates audit risk. Federal award salary and wage charges need records that reflect work performed and allocate pay among activities or cost objectives. Nonexempt employee charges also need daily total hours worked. Generic invoice lines such as "program support" leave reviewers without enough detail.
Everhour Billing & Invoicing converts tracked billable time and expenses into client invoices, calculates invoice amounts from rates while excluding non-billable tasks, and lets invoice data be grouped by project, task, person, date, or other available breakdowns. Invoices can be exported to QuickBooks Online, Xero, or FreshBooks.
Track billable time and expenses by project, then generate invoices with the right rates, exclusions, and accounting handoff. Everhour gives NGOs cleaner billing records.
