A cleaning invoice should turn a completed visit or recurring service period into a clear payment request. For commercial janitorial work, that usually means naming the property, service dates, cleaned areas, and recurring scope, such as restrooms, trash, floors, glass, high-touch surfaces, and supplies. For residential cleaning, the invoice can list rooms, hallways, restrooms, floors, furniture, linens, and replenished supplies.
The invoice also needs a pricing structure the customer recognizes. A weekly office cleaning contract may use a flat recurring charge, while a move-out clean may use a one-time service charge plus separately billed supplies. The customer should be able to match the invoice to the visit, building, unit, or schedule without asking for a revised copy.
A complete cleaning-service invoice usually includes the business name, customer name, property address, invoice date, invoice number, service date or billing period, payment terms, line items, subtotal, tax line when applicable, and total due. The line items should separate labor or service charges from pass-through supplies, equipment, or reimbursable costs when those costs are billed to the customer.
A practical line item can read: "Nightly janitorial service, 5 visits, lobby, restrooms, trash, floors, March 1 to March 7, $750." A supply line can follow separately: "Restroom paper goods restocked, $86.40." This structure gives the customer the operational detail needed for approval while keeping the invoice short enough for routine accounting.
The United States does not use a national VAT or GST invoice regime, and there is no single federal private-sector invoice form. For ordinary businesses, invoices support business records and contract payment terms. Sales and use tax obligations come from state and local rules, and cleaning-service taxability varies by state and service type.
Texas lists janitorial and custodial services, laundry and cleaning services, carpet cleaning, rug cleaning, and upholstery cleaning among taxable services. That does not make every cleaning invoice taxable in every state. Apply the customer location, service type, and state registration rules that govern the sale. Net 30 means the full balance is due within 30 days unless the contract sets a different term.
