Cleaning service invoice essentials

Turn jobs into billable records

A cleaning invoice should turn a completed visit or recurring service period into a clear payment request. For commercial janitorial work, that usually means naming the property, service dates, cleaned areas, and recurring scope, such as restrooms, trash, floors, glass, high-touch surfaces, and supplies. For residential cleaning, the invoice can list rooms, hallways, restrooms, floors, furniture, linens, and replenished supplies.

The invoice also needs a pricing structure the customer recognizes. A weekly office cleaning contract may use a flat recurring charge, while a move-out clean may use a one-time service charge plus separately billed supplies. The customer should be able to match the invoice to the visit, building, unit, or schedule without asking for a revised copy.

Include the right service details

A complete cleaning-service invoice usually includes the business name, customer name, property address, invoice date, invoice number, service date or billing period, payment terms, line items, subtotal, tax line when applicable, and total due. The line items should separate labor or service charges from pass-through supplies, equipment, or reimbursable costs when those costs are billed to the customer.

A practical line item can read: "Nightly janitorial service, 5 visits, lobby, restrooms, trash, floors, March 1 to March 7, $750." A supply line can follow separately: "Restroom paper goods restocked, $86.40." This structure gives the customer the operational detail needed for approval while keeping the invoice short enough for routine accounting.

Handle tax and terms carefully

The United States does not use a national VAT or GST invoice regime, and there is no single federal private-sector invoice form. For ordinary businesses, invoices support business records and contract payment terms. Sales and use tax obligations come from state and local rules, and cleaning-service taxability varies by state and service type.

Texas lists janitorial and custodial services, laundry and cleaning services, carpet cleaning, rug cleaning, and upholstery cleaning among taxable services. That does not make every cleaning invoice taxable in every state. Apply the customer location, service type, and state registration rules that govern the sale. Net 30 means the full balance is due within 30 days unless the contract sets a different term.

Use tools or managed workflow

A free invoice tool works for one-off residential jobs, small recurring clients, or a new cleaning business that needs a clean PDF after each visit. It is enough when the job scope is simple, the customer count is low, and the invoice can be prepared from a calendar, work order, or crew note without rebuilding a full timesheet.

A managed workflow fits cleaning teams that bill multiple properties, separate billable and non-billable work, approve team hours, or need reports by client, property, crew member, and service period. Everhour Reporting can group tracked time, filter project data, export reports, and schedule recurring email delivery, so billing support does not depend on handwritten logs or scattered spreadsheets.

Frequently Asked Questions

What should a cleaning service invoice include?

A cleaning service invoice should include the business and customer names, property address, invoice number, invoice date, service date or billing period, cleaning scope, line items, subtotal, applicable sales tax, payment terms, and total due. Separately billed supplies, equipment, or pass-through costs should appear apart from labor or service charges.

Should cleaning invoices list each room or task?

The invoice should list enough room or task detail for the customer to approve the charge. Commercial clients often need areas such as restrooms, floors, trash, windows, and high-touch surfaces. Residential clients often expect rooms, hallways, floors, furniture, linens, and bathroom or cleaning supplies when those items affect the price.

Are cleaning services taxable in the United States?

Cleaning-service taxability is state-specific. The United States has state and local sales and use tax instead of a national VAT or GST invoice regime. Texas treats several cleaning categories as taxable services, including janitorial, custodial, carpet, rug, and upholstery cleaning, while other states apply different rules.

Is Net 30 a good payment term for cleaning work?

Net 30 fits recurring commercial cleaning accounts when the customer already uses monthly accounts payable cycles. Smaller residential jobs often use payment due on receipt or a shorter term. Early-payment terms such as 1%/10 net 30 give a discount for payment within 10 days and otherwise require full payment within 30 days.

Which cleaning invoice mistake causes the most payment delay?

Missing service dates or unclear property details often delay payment because the customer cannot match the invoice to the approved work. A recurring cleaning invoice should show the billing period, site, scope, and any separate supply charges. A one-time job should show the visit date and the work completed.

How does Everhour Reporting support cleaning service invoicing?

Everhour Reporting lets cleaning teams build reports with columns, grouping, filters, date ranges, and exports. A manager can review tracked time by client, property, team member, or task before preparing invoices, then schedule recurring report delivery for billing review.
