An invoice app for PayPal helps you turn customer, project, and line-item details into a PayPal invoice that the customer can pay through a hosted payment link. PayPal sends the invoice by email after the draft is created and sent. The customer can pay with a PayPal account or, where available, as a guest using a debit or credit card.
A PayPal Invoicing API workflow requires a PayPal business account with Invoicing enabled, API credentials, and an access token. The app creates a draft invoice through `POST /v2/invoicing/invoices`, receives an invoice ID, then sends the invoice. PayPal handles the hosted checkout page, while the invoice app keeps the business record tied to the customer and work performed.
A PayPal invoice includes invoice detail, merchant information, billing information, and an items array. The detail object covers invoice number, invoice date, payment terms, and audit metadata. Payment terms can be due on receipt, due on a specified date, or due after a set number of days. The items array is required and can hold up to 100 line items.
Each line should describe the charge in plain business terms, such as consulting hours, implementation work, monthly support, or reimbursable expenses. A clean invoice also shows quantity, unit price, extended amount, tax where applicable, and the customer's billing details. In the United States, there is no national VAT or GST invoice regime, and sales tax depends on state and local rules.
PayPal collects payment on the invoice, so the payout can be lower than the invoice total after processing fees. For United States PayPal accounts, PayPal lists domestic invoicing transaction rates by payment method, including 3.49% plus a fixed fee for PayPal Checkout, Pay with Venmo, or Guest Checkout, and 2.99% plus a fixed fee for standard card, Apple Pay, or other wallets.
United States PayPal accounts receiving invoicing transactions in United States dollars also have a $0.49 fixed invoicing fee, and international invoicing transactions add a 1.50% percentage-based fee to the applicable domestic invoicing rate. The invoice should show the amount charged to the customer, while reconciliation should account for the processor fee deducted from the payout.
A one-off PayPal invoice works well when you already know the customer, amount, payment terms, and final line items. It is enough for a single project, a simple service invoice, or a quick payment request. The boundary is clear: PayPal collects the payment, while your business still needs a source record for billable work, expenses, and invoice history.
A managed workflow fits better when invoices come from tracked work. Everhour supports billable and non-billable time through project billing status, task-level non-billable controls, custom task rates, member-rate exceptions, and admin reports with billable time, non-billable time, billable amount, and cost. That structure keeps invoice preparation tied to approved work instead of rebuilt from notes.

PayPal can host and send an invoice after an invoice app creates the draft through PayPal Invoicing. The sent invoice includes a secure payment link, and the customer pays on PayPal's hosted page. The app or business system still needs to preserve the original customer, project, tax, and line-item records used to create the invoice.
The most important fields are invoice number, invoice date, merchant information, customer billing information, payment terms, and line items. PayPal also supports audit metadata in the invoice detail object. Line items should identify the service or product, quantity, unit price, and amount so the customer can match the charge to the work delivered.
PayPal invoice recipient data can include name, email, address, phone, and language. PayPal also supports additional recipients as CC email addresses for invoice notifications. Use CC recipients for buyers, approvers, or finance contacts who need visibility, and keep the primary recipient as the person or entity responsible for payment.
United States invoices do not use a national VAT or GST invoice regime. Sales and use tax obligations are imposed by state and local jurisdictions, and the right tax treatment depends on nexus, product or service taxability, and the place of sale. A seller that makes taxable sales may need state-level sales-tax registration rather than a United States VAT number.
The common mistake is treating the PayPal payout as the invoice amount. PayPal can deduct a percentage fee and fixed fee before the money reaches the account. Reconciliation should match the customer-facing invoice total, the payment status, the processor fee, and the net payout so revenue and cash records stay aligned.
Everhour lets admins set project billing status, mark specific tasks as non-billable, apply custom task rates, and use member-rate exceptions. Reports can show billable time, non-billable time, billable amount, and cost, so invoice lines reflect chargeable work while internal work stays available for analysis.
Use Everhour to separate billable work, non-billable tasks, and rates before invoices are prepared, giving teams cleaner billing records and fewer manual invoice corrections.
