Use this page to prepare an invoice for work sold to a Czech customer or by a Czech business. The finished document should identify both parties, describe the supply, show dates, state the price, and give the buyer a clear payment path. For VAT tax documents, the Czech VAT Act controls the required fields, so commercial clarity and tax documentation belong in the same file.
The practical goal is a document you can send, download, store, and reconcile later. A freelancer may need one invoice for a project milestone. An agency may need a client-ready invoice tied to hours, expenses, and agreed rates. A bookkeeper may need a record that matches VAT reporting, payment terms, and the client ledger without rebuilding missing details after delivery.
A Czech VAT tax document must identify the seller and buyer, include tax identification numbers where assigned, and carry an evidentiary tax-document number, or evidenční číslo daňového dokladu. It also needs the scope and subject of the supply, issue date, supply date or advance-payment date when different, unit price net of tax, discounts not included in the unit price, tax base, VAT rate, and VAT amount.
Czech VAT uses a 21% standard rate and a 12% reduced rate, with the standard rate applying unless the VAT Act provides otherwise for listed goods or services. The VAT amount shown on the tax document must be stated in Czech currency, even if the commercial total also appears in euros or another currency. That CZK VAT line prevents a clean-looking invoice from becoming incomplete for VAT records.
A common mistake is treating a Czech invoice like a generic international bill. VAT registration changes the document: a taxable person established in the Czech Republic becomes a VAT payer from the following calendar year after domestic turnover exceeds CZK 2,000,000, or from the day after turnover exceeds CZK 2,536,500 in the current calendar year under the in-year rule.
Electronic delivery also needs attention. A Czech tax document may be paper or electronic, but electronic tax documents require the recipient's consent. Authenticity, integrity, and readability must be maintained for the retention period, and Czech VAT tax documents must be retained for 10 years from the end of the tax period in which the supply took place. Foreign-language documents must be translated into Czech if the tax administrator requests it.
A free invoice document is enough when you need a single clean bill, already know the VAT treatment, and can store the supporting records yourself. It also works for small, simple transactions where the line items, payment terms, and buyer details are already fixed. For public authorities, the EU late-payment framework generally uses 30 calendar days, while B2B periods should not exceed 60 calendar days unless expressly agreed and not grossly unfair.
A managed workflow becomes better when billable time, rates, expenses, and invoice status need to stay connected. Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates amounts from rates while excluding non-billable work, and keeps exported invoice status visible after sending drafts to QuickBooks Online, Xero, or FreshBooks. That matters when one invoice turns into monthly billing.

The core fields are seller and buyer identification, tax IDs where assigned, an evidentiary tax-document number, issue date, supply or advance-payment date when different, supply description, unit price net of tax, discount not already included, tax base, VAT rate, and VAT amount. VAT tax documents also need the VAT amount stated in Czech currency.
VAT must be shown correctly for the taxable supply. The tax document must state the tax base, VAT rate, and VAT amount, and Czech VAT is calculated as the tax base multiplied by the applicable rate. A per-line layout is often clearer when different supplies, discounts, or VAT rates appear on the same invoice.
Yes. A Czech tax document may be paper or electronic, but an electronic tax document is one issued and received electronically, and its use requires the recipient's consent. Authenticity, integrity, and readability must be maintained for the full retention period, so the saved file must remain accessible and reliable.
A Czech VAT tax document must generally be issued within 15 days from the day the obligation to declare VAT or declare the supply arises. Specified intra-EU and cross-border cases use 15 days from the end of the relevant calendar month, so cross-border billing needs a separate timing check.
A simplified tax document may be used when the total amount for the supply does not exceed CZK 10,000. Statutory exclusions apply, including certain intra-EU supplies, distance sales, reverse-charge supplies, and specified excise goods. Use a full VAT tax document when the transaction falls outside that simplified-document scope.
Everhour Billing & Invoicing turns tracked billable time and expenses into invoices, calculates invoice amounts from rates, and excludes non-billable tasks from billable totals. Client records can hold contact details, tax rate, discount, and payment terms that become invoice defaults for repeated billing.
Everhour exports invoices to QuickBooks Online, Xero, or FreshBooks as drafts managed in the accounting tool. Invoice status, number, issue date, and amount sync back to Everhour, so project billing reports stay connected to the invoice record after export.
Create one clean invoice when the job is simple. For recurring Czech client billing, Everhour connects tracked time, rates, expenses, invoice defaults, and accounting exports into Everhour Billing & Invoicing.
