Create a usable client invoice

This page is for creating a client invoice without buying a full billing platform first. You need a document that names the seller and buyer, shows a sequential invoice number, lists issue and due dates, breaks out the work or products sold, and tells the client where and how to pay. A simple invoice works when it gives the client enough detail to approve the bill and gives you enough support for business records.

An invoice is a request for payment. A receipt proves payment received. An estimate or quote gives a pre-work price offer, with a quote usually treated as firmer than an estimate. Keep those documents separate so the client, bookkeeper, and tax preparer can follow the transaction without guessing which stage the work is in.

Include the fields that matter

A complete invoice identifies your business, the client, invoice date, invoice number, due date, payment terms, remit-to details, line items, subtotal, tax line when applicable, discounts when used, and total due. Line items should describe the work clearly enough for approval, such as "Website maintenance, 12 hours at $85 per hour," instead of a vague label like "services."

United States private-sector invoices do not follow one prescribed federal invoice form. For federal tax records, invoices act as supporting documents that help show income, expenses, and sources of gross receipts. Federal contracts are different. FAR 32.905 defines proper invoice fields for federal procurement, including contractor details, dates, invoice number, contract references, line items, terms, payee details, and TIN or EFT data when agency procedures require them.

Keep cost savings practical

A budget-friendly invoice setup saves money when it avoids subscriptions, setup fees, and re-keying for occasional billing. Use it for one-off projects, small client lists, or early-stage work where you can still verify each line manually. The export matters: a clean PDF gives the client a stable document, while a saved copy gives you a record for later payment follow-up and bookkeeping.

Cost savings disappear when the invoice leaves out a tax decision, repeats an invoice number, or hides the work behind unclear descriptions. The United States has no national VAT or GST invoice regime. Sales and use tax depends on state and local rules, nexus, product or service taxability, and the place of sale. Add tax only after checking the applicable rule for that transaction.

Can a low-cost invoice still look professional?

Yes. A professional invoice comes from complete fields, clear line items, consistent numbering, accurate dates, payment terms, and a tax line that matches the transaction. A paid tool is not required for that structure. The invoice should also include your remit-to details and enough description for the client to approve the charge without requesting a revised copy.

Does every United States invoice need a sales tax line?

No. The United States does not have a national VAT or GST invoice regime, and sales and use tax is imposed by state and local jurisdictions. Taxability depends on the seller's nexus, the product or service sold, and the place of sale. Services are treated differently by state, so a blank tax line is better than adding a made-up national rate.

Should an invoice include an EIN or TIN?

Private client invoices do not automatically require an EIN or TIN. Businesses commonly provide a Taxpayer Identification Number through Form W-9 when a payer needs it for IRS information reporting. Federal contract invoices include a TIN only when agency procedures require it. Include taxpayer ID details only when the client, contract, or agency process calls for them.
