Time and budget tracking on Basecamp projects

Decide the tracking layer

Use this page to evaluate the practical job behind the Harvest Basecamp setup: tracking time from Basecamp to-dos, keeping each entry tied to the right client work, and reviewing whether the resulting totals support billing or budget checks. The timer location is one choice. Duplicate setup, project mapping, budget visibility, and CSV or report handoffs decide whether the workflow stays simple after the first week.

As of July 23, 2026, Basecamp 5 also has its own Timesheets upgrade. It logs date, hours worked, person, and optional notes, then shows project and cross-project reports with CSV export. The upgrade is included in Pro Unlimited and costs $50 per month as a flat add-on on other Basecamp packages, so price and depth both belong in the comparison.

Follow the to-do time flow

Harvest's Basecamp integration runs through the Harvest browser extension for Chrome, Firefox, or Edge. On Basecamp 3 and Basecamp 2 to-dos, a user chooses a Harvest project and task, then starts a timer or saves a manual duration or start and end time. Harvest shows total tracked time on the Basecamp to-do and places a link to that to-do on the Harvest timesheet entry.

Everhour also uses a browser extension for the embedded Basecamp controls, and its Basecamp integration does not work in Basecamp native apps. After connection, Everhour syncs all Basecamp projects across teams and workspaces, updates renamed projects and to-dos, and carries Basecamp project, to-do, list, task ID, and task status fields into reports. The documented task model centers on projects, lists, and to-dos.

Check sync and budget boundaries

The main Harvest boundary is project and task setup. Harvest states that Basecamp projects and to-dos do not sync with Harvest projects and tasks, so teams create the structures in both places. After a user tracks time from a Basecamp to-do once, Harvest remembers the selected Harvest project and task for that to-do. That memory helps repeat entries, but it does not replace setup discipline.

For billable work, budget handling becomes the sharper decision. Harvest supports Time & Materials, Fixed Fee, and Non-Billable projects, task, person, or project billable rates, and hourly or fee budgets with budget email alerts. Basecamp Timesheets document hours, people, notes, reports, and CSV export, without documented native billable rates, cost rates, invoice creation, budget caps, or budget-threshold alerts.

Move from one-off checks to controls

A one-off comparison is enough when the team only needs to know where time can be entered and exported for a short Basecamp project. Basecamp Timesheets document hour review and CSV export. Harvest fits teams that already maintain Harvest projects, tasks, rates, and budgets separately and want Basecamp to-do timers through the browser extension; Harvest pricing lists Free with 1 seat and 2 projects, Teams with unlimited seats, and Enterprise with advanced features such as profitability reporting and timesheet approvals.

A managed Basecamp workflow needs firmer controls: synced to-dos, billable settings, time or money budgets, recurring budget periods, budget email alerts, and a review trail before billing. Everhour Project Budgeting can keep Basecamp project budgets tied to tracked task time, apply fixed fee, hourly rate, or non-billable methods, include or separate expenses from fee budgets, and alert admins at configured thresholds.

Frequently Asked Questions

Does Harvest sync Basecamp projects and to-dos automatically?

Harvest states that Basecamp projects and to-dos do not sync with Harvest projects and tasks. Teams create matching structures in both systems, then pick the Harvest project and task from the timer on a Basecamp to-do. After the first tracked entry, Harvest remembers that selection for that Basecamp to-do.

Can Harvest timers run directly on Basecamp to-dos?

The Harvest browser extension adds time tracking to Basecamp 3 and Basecamp 2 to-dos in Chrome, Firefox, or Edge. A user can start a timer, save a manual duration, or enter a start and end time. Harvest also shows the tracked total on the Basecamp to-do and links the Harvest timesheet entry back to that to-do.

Does Basecamp Timesheets cover billing rates and budget alerts?

Basecamp Timesheets document hours, people, optional notes, project reports, cross-project reports, and CSV export. The documentation does not describe billable rates, cost rates, invoice creation, budget caps, or budget-threshold alerts inside Basecamp. Teams that need rate-based billing or budget emails need a separate time and budget layer.

Which Basecamp plan includes native Timesheets?

As of July 23, 2026, Basecamp includes Timesheets in Pro Unlimited. Customers on other Basecamp packages can add Timesheets as an account upgrade, and Basecamp lists that add-on at $50 per month flat regardless of team size. Basecamp also lists Pro at $15 per user per month billed monthly and Pro Unlimited at $299 per month billed annually.

Where should budget rules live for Basecamp work tracked with Harvest?

Budget rules live in Harvest for the Harvest side of the workflow. Harvest supports Time & Materials, Fixed Fee, and Non-Billable projects, task, person, or project billable rates, and hourly or fee budgets with budget email alerts. The common mistake is assuming those rules appear automatically from Basecamp project or to-do setup.

How does Everhour Project Budgeting control Basecamp budget drift?

Everhour Project Budgeting ties Basecamp project budgets to tracked task time, with hour-based or money-based budgets, recurring periods, and admin-set email alert thresholds. Budget protection can stop running timers and prevent extra logging after a budget is exceeded for tighter scope control.

Can Everhour reports keep Basecamp to-do context attached?

Everhour Reporting can include Basecamp project, to-do, list, task ID, and task status fields, so a manager can review time by the same work structure used in Basecamp. Saved reports can be downloaded as CSV, Excel/XLSX, or PDF for billing review or archive needs.
