Use this page to decide who can take the next Basecamp to-do, client request, or project task without overloading the week. The useful output is a person-by-person view: available hours, planned commitments, assigned projects, time off, and the overload signal. Basecamp project and to-do details give the work context, including assignees, due dates, and completion status. The capacity layer attaches effort to that work so the plan shows load as well as ownership.
Start with the people before the project list. Set each person's weekly capacity, subtract scheduled time off, then assign planned hours to project work during the period it will be done. A due date shows urgency; planned hours show the amount of labor consuming capacity. The manager then chooses one action: move work, extend timing, split the assignment, or leave capacity open for urgent tasks.
A reliable workload record needs one line for the person, project or to-do, planned period, planned hours, and status. Basecamp to-dos carry working context such as title, notes, assignee, subtasks, due date or date range, recurring schedule, and completion status. The planning record adds effort so the same work can be reviewed by member view or project view instead of relying on the length of the to-do list.
Use the same grain for every assignment in the week. A task estimate can become a planner assignment against a project or task, with a defined period and total or per-day hours. Availability means capacity left after planned assignments and time off. Count the hours assigned to each person before moving more work into the week. A person with many small tasks can still have room; a person with one large client task can be overcommitted. Review the weekly summary before handoff. A red overload signal means planned work exceeds the person's weekly capacity and needs a scheduling decision.
The cleanest review compares three things: committed hours, remaining availability, and work that has no realistic owner this week. Basecamp due dates and date ranges identify timing pressure. Planned hours identify effort. Tracked time then corrects future plans because recurring assignments, support work, and long tasks often consume capacity differently than the original estimate. Keep those lessons by project and by person.
A one-time availability check is enough for a single planning meeting, a small project handoff, or a short week with stable assignments. The result should answer one question: who has room for the next piece of work after planned assignments and time off are counted. Save that snapshot only if the plan will not drive billing, payroll review, or repeated capacity decisions.

Define availability as the capacity a person has left after planned project work and scheduled time off are counted. Use weekly capacity as the baseline, then subtract assigned effort in the planning period. Basecamp to-do ownership identifies responsibility; planned hours show whether that responsibility fits the person's remaining capacity.
Include assigned to-dos, recurring tasks, and project work that needs labor during the review period. Use the title, assignee, subtasks, due date or date range, and completion status to identify scope. Message discussions, files, and Schedule dates belong in the review only when they result in a person-owned task with planned hours.
Use due dates for timing and planned hours for capacity. A due date says the work has to land by a specific day or range. Planned hours show the load placed on a person during that period. A task due Friday can still overload Monday through Thursday if the effort is assigned too tightly.
The common mistake is reviewing each project in isolation. One person can look available inside a single Basecamp project while already carrying assignments from other projects. Capacity review needs a cross-project view grouped by person, with planned hours, time off, and completed work visible for the same week.
Use utilization only after defining the numerator and denominator. Billable-to-available utilization measures billable planned or tracked hours against available capacity. Busy time measures every assigned hour. Those ratios answer different questions, so a manager should avoid treating a full schedule as proof that the person is productively allocated.
