The Xero workflow starts with client records: Xero contacts sync into Everhour clients, then project work can be tied to the correct customer before invoicing.
The accounting handoff runs in the other direction. Billable hours and expenses become an invoice in Everhour, then copy to Xero as a draft invoice. Xero carries the accounting structure after that point, including contact, line items, dates, currency code, tax, totals, amount due, amount paid, and invoice status.
A useful time tracking setup separates raw timer records from invoice-ready line items. Xero line items use a description, quantity, unit amount, account code, tax type, line amount, and optional tracking categories. For time billing, quantity usually represents the billable hours and unit amount represents the billing rate.
Xero calculates line amount as quantity times unit amount, adjusted by DiscountRate or DiscountAmount when discounts apply. That makes clean rate setup important before export. The time tracking system supplies the approved hours and billing context; Xero supplies the invoice lifecycle, account coding, tax handling, and payment record.
U.S. employers covered by the FLSA must keep accurate records for nonexempt workers, but the federal baseline does not require a specific timekeeping system. For employees covered by the FLSA minimum wage or overtime provisions, records must include hours worked each workday and total hours worked each workweek.
Covered nonexempt employees must receive overtime pay for hours worked over 40 in a fixed 168-hour workweek at not less than one and one-half times the regular rate of pay. Payroll records must be preserved for at least three years, and basic time and earnings records, such as daily start and stop time cards or sheets, must be preserved for at least two years.
A one-off export is enough when a freelancer needs a simple draft invoice, a small client job has a clear rate, or the accounting team only needs billable totals moved into Xero. The process still needs clean descriptions, quantities, unit amounts, account codes, tax types, and currency codes before the invoice is approved.
