A UK invoice must identify the transaction clearly before it reaches the customer's accounts team. Include a unique invoice ID, supplier company name, address and contact information, customer company name and address, a clear description of the goods or services, the supply date, the invoice date, the amount charged, any VAT amount, and the total amount owed.
Business identity details matter. Sole trader invoices must show the trader's name and any business name used. Limited company invoices must show the full company name as it appears on the certificate of incorporation. A mismatch between the legal seller name and the payment record can delay approval, especially with larger customers that validate supplier records before releasing payment.
The United Kingdom uses VAT, not sales tax. VAT-registered businesses must charge VAT on taxable goods and services unless they are exempt, and VAT invoices must show the supplier's VAT number with VAT displayed separately. A business must register for VAT if taxable turnover for the last 12 months goes over £90,000 or if it expects taxable turnover to exceed £90,000 in the next 30 days.
The standard VAT rate is 20% for most goods and services, the reduced rate is 5% for qualifying supplies, and zero-rated supplies are charged at 0% while still being accounted for on VAT invoices where applicable. A full VAT invoice needs the tax point, VAT rate, VAT-exclusive amounts, any discount rate offered, and total VAT in sterling.
A PDF invoice is still common, but UK electronic VAT invoices are permitted if they contain the same required information as paper invoices. You do not need to notify HMRC. The electronic invoice must preserve authenticity of origin, integrity of data, legibility, and customer agreement, so the customer can rely on the record for VAT and payment processing.
Currency and language choices need care. VAT invoice amounts may be expressed in any currency, but the total VAT chargeable must be in sterling. Invoices may use another language, provided English translations of specific invoices can be supplied within 30 days if HMRC asks. Payment terms also belong on the invoice, especially when a customer uses approval workflows.
