Polish invoice requirements for billable work

Use this page to prepare a Polish VAT invoice for services or goods you are ready to bill. The practical goal is a document with the buyer's legal details, a sequential invoice number, service or delivery dates, clear line items, VAT treatment, and an amount due that the customer can process without sending it back for corrections.

Poland's indirect tax on invoices is VAT under the Act on tax on goods and services. The standard Polish VAT rate is 23%, with a main reduced rate of 8% and authority to apply reduced rates including 5% and 0% for specified supplies. Choose the rate that matches the supply, then show the calculation clearly.

Include the statutory invoice fields

A Polish VAT invoice must identify the issue date, sequential invoice number, seller and buyer names and addresses, seller and buyer tax identification numbers, and the delivery, service, or payment date when that date is known and differs from the issue date. For specified intra-EU transactions, the seller's tax identification number uses the PL prefix.

Each invoice line should describe the goods or services, show the measure and quantity of goods or scope of services, unit net price, discounts or reductions not already included in the unit price, and net transaction value. The tax section should show the VAT rate, net sales totals split by rate and exempt sales, VAT amount split by rate, and the total amount due.

Check timing and currency

The general Polish invoice issue deadline is no later than the 15th day of the month after the month in which goods were delivered, services were performed, or an advance payment was received, subject to listed special cases. Late invoicing creates avoidable follow-up work, especially when the buyer closes its monthly VAT records quickly.

Foreign-currency commercial amounts are allowed, but VAT amounts must be shown in Polish złoty. Convert the VAT under the VAT Act currency rules and round it to full grosze. For example, an invoice issued in euros still needs the VAT amount displayed in PLN, so the buyer has a Polish tax amount to record.

Check whether the invoice must go through KSeF before sending an ordinary PDF or paper invoice.

Which small sellers can still issue invoices outside KSeF in 2026?

Until December 31, 2026, taxpayers may still issue paper or ordinary electronic invoices outside KSeF if monthly gross sales on invoices subject to mandatory KSeF do not exceed PLN 10,000. KSeF becomes mandatory for previously exempt small businesses from January 1, 2027.
