Use this page to prepare a Polish VAT invoice for services or goods you are ready to bill. The practical goal is a document with the buyer's legal details, a sequential invoice number, service or delivery dates, clear line items, VAT treatment, and an amount due that the customer can process without sending it back for corrections.
Poland's indirect tax on invoices is VAT under the Act on tax on goods and services. The standard Polish VAT rate is 23%, with a main reduced rate of 8% and authority to apply reduced rates including 5% and 0% for specified supplies. Choose the rate that matches the supply, then show the calculation clearly.
A Polish VAT invoice must identify the issue date, sequential invoice number, seller and buyer names and addresses, seller and buyer tax identification numbers, and the delivery, service, or payment date when that date is known and differs from the issue date. For specified intra-EU transactions, the seller's tax identification number uses the PL prefix.
Each invoice line should describe the goods or services, show the measure and quantity of goods or scope of services, unit net price, discounts or reductions not already included in the unit price, and net transaction value. The tax section should show the VAT rate, net sales totals split by rate and exempt sales, VAT amount split by rate, and the total amount due.
The general Polish invoice issue deadline is no later than the 15th day of the month after the month in which goods were delivered, services were performed, or an advance payment was received, subject to listed special cases. Late invoicing creates avoidable follow-up work, especially when the buyer closes its monthly VAT records quickly.
Foreign-currency commercial amounts are allowed, but VAT amounts must be shown in Polish złoty. Convert the VAT under the VAT Act currency rules and round it to full grosze. For example, an invoice issued in euros still needs the VAT amount displayed in PLN, so the buyer has a Polish tax amount to record.
A one-off invoice is enough when you have one buyer, a small number of lines, and the time or goods data already finalized. It works best for a simple service invoice where you can verify the buyer's tax ID, rate, deadline, currency, and KSeF status before sending.
A managed workflow matters when billable hours, expenses, rates, and approvals feed repeated invoices. Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates amounts from rates while excluding non-billable work, supports client defaults and invoice customization, and exports invoices to QuickBooks Online, Xero, or FreshBooks with status sync back to Everhour.

A Polish VAT invoice needs the issue date, sequential invoice number, seller and buyer names and addresses, seller and buyer tax identification numbers, and the delivery, service, or payment date when it is known and differs from the issue date. It also needs line descriptions, quantities or service scope, unit net prices, discounts, net values, VAT rates, VAT amounts by rate, and total due.
Yes. A Polish invoice may include commercial amounts in a foreign currency, but VAT amounts must be shown in Polish złoty. The VAT amount is converted under the VAT Act currency rules and rounded to full grosze. This requirement applies even when the buyer agrees to pay the invoice total in another currency.
The general deadline is no later than the 15th day of the month after the month in which goods were delivered, services were performed, or an advance payment was received. Listed special cases can change the deadline, so recurring billing processes should store the service date separately from the invoice issue date.
KSeF structured e-invoicing is mandatory for many Polish businesses under the 2026 rollout. It started on February 1, 2026 for companies with 2024 sales above PLN 200 million including VAT, and on April 1, 2026 for the remaining businesses. Check whether the invoice must go through KSeF before sending an ordinary PDF or paper invoice.
Until December 31, 2026, taxpayers may still issue paper or ordinary electronic invoices outside KSeF if monthly gross sales on invoices subject to mandatory KSeF do not exceed PLN 10,000. KSeF becomes mandatory for previously exempt small businesses from January 1, 2027.
