A paralegal invoice helps a law firm, legal department, or contract paralegal document delegated substantive legal work for a specific matter. The invoice should identify the client, matter name or number, invoice date, invoice number, service period, payment terms, and remittance details. For U.S. private-sector work, there is no prescribed federal private-sector invoice form, so the invoice format mainly supports records, contracts, and client review.
Paralegal billing should stay tied to work performed under attorney supervision, with the attorney maintaining the client relationship and professional responsibility for the work product. A clear invoice does not make the paralegal the fee-setter or legal adviser. It records approved work such as legal research, drafting for attorney review, witness interviews, discovery support, deposition summaries, trial support, and other delegated substantive tasks.
Each time line should show the date, timekeeper, role, task description, hours or units, rate, and line amount. A useful entry reads like this: April 8, 2026, paralegal, summarize Smith deposition transcript for attorney review, 2.4 hours at $95 per hour. That level of detail gives the client enough context to approve the charge without turning the invoice into a work memo.
Clerical overhead belongs outside substantive paralegal fees in fee-award contexts. NALA identifies organizing files, copying documents, checking dockets or court dates, updating files, and delivering papers as clerical functions rather than recoverable substantive paralegal work. A clean invoice keeps those items non-billable, treats them as firm overhead, or lists them only if the engagement agreement separately allows reimbursement.
Paralegal invoices often include expenses or disbursements alongside time, such as filing fees, transcript charges, courier costs, or research database charges. The engagement terms should state the basis or rate of fees and the expenses for which the client is responsible. ABA Model Rule 1.5 requires that communication before or within a reasonable time after representation begins, preferably in writing.
Corporate legal clients may require LEDES or UTBMS coding. In that setup, the invoice line needs the correct task, activity, expense, and timekeeper codes, including the timekeeper classification for a legal assistant or paralegal role. Code errors slow review because the client cannot map the charge to its billing rules, matter budget, or outside counsel guidelines.
A single invoice template is enough for an occasional matter, a corrected bill, or a contract paralegal who invoices one attorney at a time. It works when the time entries already exist, the rates are simple, and the client does not require ongoing budget tracking, LEDES-style review, or recurring matter reports.
