Map the billing boundary

Billing works best when that hierarchy gives reviewers a clear path from broad work area to specific task. Folders, Lists, tasks, and subtasks carry the billing detail, while the Space gives the reviewer a consistent place to start the review.

The practical job is simple: separate billable work from internal work, attach the right rate logic, review entries by task context, and send only approved billable time forward. A good billing record shows who worked, the task, the date range, the amount of time, the billable status, and a short description when the task title alone does not explain the charge.

Keep billable status visible

Billable and non-billable time both belong in the review. Billable time becomes money owed by the client. Non-billable time explains work that affects margin but should stay off the invoice. Hiding non-billable time makes the invoice cleaner and the project economics weaker.

A Space-based review should catch mixed work before the invoice handoff. Mark the project billing status, then exclude specific tasks that should stay non-billable inside a billable project. For member-rate billing, a person can also have a project rate set to 0 when all of that person's time on that project should remain non-billable.

Match rates to the deal

Rate setup should follow the client agreement. A project-hourly rate fits a single blended rate. Person-hourly rates fit teams with different client-facing rates by role or seniority. Fixed-fee billing fits work where the invoice amount is agreed in advance, while tracked time still protects budget, margin, and staffing review.

Task-level rates matter when a ClickUp-synced project contains different service types under one billing workflow. Some tasks may need custom rates even when the broader project uses one billing method. Rate changes also need dates, so older work keeps the rate that applied when the time was logged.
