Track your budget through time or costs
Every report you need — configured your way, always up to date.
Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
Use this page when ClickUp is where work is organized and finance needs a structured cost review. The practical goal is a project view that identifies the budget target, logged time, rate logic, calculated cost, alert status, and items that need review before finance uses the numbers for billing, forecasting, or management reporting.
A useful finance review keeps the work context clear. Everhour's ClickUp integration syncs folders, projects, tasks, tags, and custom fields into Everhour, then adds timers, estimates, budgets, timesheets, and reporting controls through the browser extension. Time tracked through Everhour is saved in Everhour reporting, so finance should treat Everhour as the reporting source for those cost figures.
Start with the budget shape. An hour budget works when finance wants to control capacity against a planned effort target. A fee budget works when finance needs money-based control, such as a fixed project allowance, client cap, or recurring budget period. Recurring budgets can reset daily, weekly, monthly, quarterly, or yearly when the same work repeats.
Rates make the budget meaningful. Cost rates represent internal labor expense, while billable rates represent what the client is charged. Project, member, and custom task rates support different pricing structures, and dated rate changes keep older reports tied to the rate that applied when the work happened. Expenses should be included in fee budgets only when finance wants those costs counted in the same budget review.
Finance teams need planned, actual, and remaining numbers in the same review. Planned work comes from estimates or the agreed budget target. Actual cost comes from tracked time multiplied by the relevant cost rate, plus expenses when those expenses are included in the budget. Remaining budget shows the gap that still exists before the project crosses its approved limit.
Alert thresholds should match the finance process. Admins can configure budget alerts at percentages such as 75%, 90%, and 100%, or use other thresholds that fit the review cadence. A 75% alert can trigger a project manager check, a 90% alert can require finance review, and a 100% alert can stop extra logging when budget protection is enabled.
A one-off cost check is enough when finance only needs a current answer for one project, one reporting date, or one client question. That review should still separate cost from billable value, exclude unapproved time from final reporting, and flag missing rates before anyone treats the number as final.
A managed workflow becomes necessary when the same ClickUp projects need recurring budgets, threshold alerts, reviewed time, and finance-ready reports every week or month. Everhour keeps tracked time, budgets, cost calculations, and reporting connected to synced ClickUp project and task context, giving finance a clearer view of cost before month end.

Finance needs the project, person, date, duration, billable status, rate, and budget target behind every cost figure. Comments, tags, and task context help explain why the time was logged. A cost review becomes weak when the total is visible but the person, rate, or work category behind it is missing.
Use hours when the main constraint is staff capacity or estimated effort. Use money when finance needs to compare labor cost, expenses, or client-facing value against a budget cap. A project can be easier to manage in hours day to day, while finance still needs money-based reports for margin, revenue, and spend review.
Finance should apply the new rate from the date it becomes effective and preserve prior time under the older rate. That keeps older cost and profitability reports consistent. A single overwritten rate can distort past months, especially when the project spans multiple billing periods or includes contractors with rate changes.
Missing non-billable work often understates total project cost. Billable status controls what can be charged to a client, but finance still needs non-billable labor for margin and internal spend review. Ignoring that time can make a project look profitable until support, meetings, rework, or admin effort is added back.
Finance should set thresholds around action points. An early threshold gives the project lead time to adjust scope or staffing. A later threshold can trigger finance approval before the project exceeds its limit. The threshold percentage should match the budget owner, review cadence, and contract risk.
Everhour Reporting lets finance build cost reports with columns, grouping, filters, date ranges, and exports across Everhour time tracked on ClickUp work. Reports can include budget metrics, labor costs, billable time, profit, invoice status, and integration fields, then be exported as CSV, Excel/XLSX, or PDF.
Everhour Project Budgeting tracks hour-based or money-based budgets as Everhour time entries and eligible expenses affect project totals. Admins can configure threshold alerts, use recurring budget periods, include or exclude expenses from fee budgets, and enable budget protection when extra time should stop after the limit is exceeded.
Use Everhour Reporting to review ClickUp project time, budget metrics, labor costs, billable time, and profit in exportable reports, giving finance a recurring project cost workflow.
