Track your budget through time or costs
Every report you need — configured your way, always up to date.
Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
A ClickUp Folder can group the work that belongs to one client phase, department request, sprint area, or delivery stream. Budget tracking gives that folder a financial lens: planned hours or money, actual time, internal cost, billable value, expenses, and remaining budget. The clean setup starts by deciding whether the Folder should sync as the Everhour project that carries the budget.
The practical goal is a repeatable budget check, not a one-time spreadsheet total. Team members log time from the ClickUp tasks they already use, while Everhour stores the rates, budget target, expenses, and reporting fields. Managers can then review the Folder as one work package and still drill into the task, person, status, tag, or custom field behind the spend.
A budget needs one clear unit. Hour-based budgets work when the question is capacity: the team planned 120 hours for the Folder and needs to know actual and remaining time. Money-based budgets work when the question is spend or fee control: the Folder has a $15,000 cap, and logged time turns into cost or billable amount through rates.
Contract type changes the setup. A non-billable Folder still needs cost rates if managers review internal labor cost. A fixed-fee Folder needs a money budget that tracks margin pressure as work accumulates. A time-and-materials Folder needs project rates, member rates, or custom task rates so the budget reflects the way the client gets billed.
Good folder budget tracking depends on entry quality. Each time record needs the person, date, duration, task, and enough context to explain the work later. Billable status matters because a Folder can contain client-facing work and internal cleanup. Task-level non-billable exclusions keep those internal entries visible in cost reports without pushing them into billable totals.
Expenses belong in the same review when they affect the budget. Receipt-backed travel, unit-priced categories such as mileage, and reimbursable project costs change the true Folder cost. If a fee-based budget should absorb expenses, include them in the budget calculation. If the client wants labor and expenses reviewed separately, track expenses outside the budget and report them beside the labor totals.
Threshold alerts work best as early warnings, not end-of-month confirmations. An admin should set percentages that match the team's decision rhythm, such as a first warning while scope can still be reduced and a later warning before approval is needed. The threshold is configurable, so the right number comes from the Folder's budget size, delivery pace, and review cadence.
The common mistake is treating the Folder budget as a status label instead of an operating control. Planned, actual, and remaining amounts need owners. A project lead reviews the remaining budget, a finance reviewer checks cost and billable treatment, and admins adjust rates or exclusions when the setup changes. That routine turns the Folder into a live budget view rather than a late variance report.
A free folder budget check is enough when you need a fast read on one Folder: define the target, total the tracked time, apply the right rates, add approved expenses, and compare actual spend with remaining budget. That approach works for small teams, short engagements, and cleanup reviews after delivery.
A managed workflow becomes necessary when the same Folder review repeats every week. Everhour can sync ClickUp Folders as projects, track hours from embedded ClickUp controls, apply billing methods and rates, include or separate expenses, and send budget notifications at admin-set thresholds. Reviewed time then feeds reports instead of forcing managers to rebuild the budget from scattered entries.

Yes. In an Everhour and ClickUp workflow, teams can choose Folders as the projects that sync into Everhour. The Folder then becomes the budget review level, while the underlying ClickUp tasks still provide the work detail for time, status, tags, custom fields, and task-level reporting.
Use hours when the main constraint is team capacity or delivery effort. Use money when the Folder has a fixed fee, spend cap, internal cost target, or client budget. A money budget needs cost or billable rates, while an hour budget mainly needs accurate task time and a clear estimate.
Expenses should count against the Folder budget when the budget represents total project spend. Keep expenses separate when the budget covers labor only or when the client reviews reimbursables outside the fee. The decision should be made before reporting starts, because mixing both methods makes remaining budget hard to trust.
Send threshold alerts to the people who can act before the budget is exceeded: the project manager, account lead, finance owner, or delivery lead. Admins set the alert percentages, so the thresholds should match the approval process and leave enough time to reduce scope, pause work, or approve extra budget.
The most damaging mistake is mixing billable and non-billable work without clear rules. Internal meetings, rework, and admin tasks still affect cost, but they should not automatically inflate billable totals. Mark task exceptions and rate overrides consistently so the Folder shows true cost, invoice value, and remaining budget.
Everhour Expenses lets team members record project costs with receipt images or PDFs, unit-based categories, billable status, and budget inclusion controls. For a ClickUp Folder synced as an Everhour project, those expenses can appear beside tracked labor in expense reports and profitability review.
Everhour Project Budgeting tracks hour-based or money-based budgets as people log time against synced ClickUp work. Admins can set threshold email alerts at any percentage, and budget protection can stop timers or prevent extra logging after the budget is exceeded.
Track ClickUp Folder work in Everhour with expenses, budget inclusion controls, threshold alerts, and reporting that turns approved hours and project costs into budget visibility.
