A List works as the planning boundary when its tasks share the same staffing pool or review cadence. Keep the planning unit tight enough that owners can act on it. A single overloaded assignee on one List gives a clear reassignment decision; a mixed List with unrelated work hides the tradeoff between projects, clients, and due dates.

Build the capacity inputs

Capacity planning needs three inputs: weekly availability per person, planned work assigned to each person, and task context. ClickUp structures work as Workspace, Spaces, optional Folders and Subfolders, Lists, then tasks and subtasks. A List-level Custom Field applies to every task and subtask in that List, while a Space-level field cascades more broadly.

Time Estimates are available on all ClickUp plans, and per-assignee estimates are available on Business and above. Use estimates for the forward plan, then compare them with tracked time after work starts. A practical weekly review looks for assigned work above capacity, unassigned tasks with near-term dates, and estimates that no longer match actual effort.

Catch overload before assignment

A capacity plan fails when assigned load looks balanced at the List level but exceeds one person's real availability.
