Use this page when the next assignment depends on current load across ClickUp projects. The practical job is to compare each person's available weekly capacity against planned commitments, then decide whether the new work belongs with that person, another teammate, or a later week.
A useful workload view separates visible busyness from real capacity. One person can hold many small tasks and still have room. Another can hold fewer tasks and already be over capacity because the planned hours exceed the time available after current commitments and scheduled time off.
Start with the work already assigned in ClickUp, then attach planned hours to each project or task in Everhour. A manager reviewing next week needs three numbers per person: weekly capacity, planned assignment load, and remaining availability. The gap between planned load and capacity shows who can accept more work.
For example, a teammate with 32 available hours and 30 planned hours has 2 hours left for small follow-up work. A teammate with 32 available hours and 38 planned hours needs reassignment, scope reduction, or a changed delivery date before the week starts.
Balanced workload does not mean every person carries the same number of tasks. Project context matters because one person can be split across client work, internal work, support, and review time. A clean plan shows where each person's hours sit by project, not only the weekly total.
The common mistake is balancing by task count. Ten review tasks can require less time than one implementation task with a large estimate. Assignments need planned hours, owner, date range, and project context so the workload decision reflects real commitment instead of a tidy task list.
A free workload view is enough when you need a one-time staffing check before assigning work. It gives a quick answer to who appears available, who is overloaded, and which ClickUp projects are competing for the same person in the same week.
A managed workflow becomes necessary when the plan must survive real work. Everhour compares planned capacity with tracked time, shows assignments by member or project, and keeps ClickUp task work connected to budgets, rates, reports, and invoicing when approved hours need a billing handoff.

Use planned hours by person and project, then compare each person's total planned load with weekly capacity. Task count hides effort because tasks do not carry equal weight. A workload review needs the owner, assigned project, date range, planned hours, and remaining availability before another task is assigned.
Assign the next task to the person with enough remaining availability and the right project context. A person with free hours still needs a schedule that fits the task's date range. A person already over capacity needs relief before receiving more planned work.
Review split work as one combined weekly commitment. A person assigned 12 hours on one project, 10 hours on another, and 14 hours on a third has 36 planned hours before meetings, time off, or support work. Project-level views help reveal which project is creating the capacity pressure.
Teams often ignore planned hours that sit outside the main project. Support, review, admin work, and time-off blocks reduce the capacity available for new assignments. A plan that counts only feature tasks makes people look available when their week is already full.
Tracked time shows whether estimates match reality. Repeated overruns on a project mean the next plan needs higher planned hours, fewer parallel assignments, or a later delivery window. Actual hours do not replace capacity planning; they correct the assumptions behind the next assignment decision.
Everhour Billing & Invoicing converts approved billable time and expenses into invoices, calculates invoice amounts from rates, excludes non-billable work, and can export invoices to QuickBooks Online, Xero, or FreshBooks with status details visible in Everhour.
Everhour Resource Planning shows workload on a visual timeline by member or project, with weekly capacity set per person. Managers can create assignments for projects, tasks, clients, or time off and compare planned capacity with actual tracked time.
Track ClickUp assignments through Everhour, compare planned load with actual hours, and turn approved billable time into invoices when workload decisions become client billing.
