The practical view starts with each person's weekly capacity, then compares assigned work against that limit. A full-time designer, a part-time developer, and a manager with two days of meetings should not receive the same planned load.
Use the plan to spot overload before work slips. A person assigned 42 planned hours against a 32-hour week needs a decision, such as moving a task, narrowing scope, changing the due date, or splitting work. Scheduled time off also belongs in the view because vacation, sick days, and holidays reduce capacity before new assignments are made.
A useful workload view groups ClickUp work by person, project, or client, then shows the planned hours attached to each assignment. The core fields are assignee, project or task, date range, total planned hours or per-day hours, weekly capacity, and time off. The daily planned load comes from spreading an assignment's total estimate across the assigned days.
Project context matters because one overloaded week can hide inside three small assignments. A developer may look fine on Project A, but the same person may also carry review work on Project B and urgent fixes on Project C. The right question is total committed load across all ClickUp projects, not whether one project plan looks tidy.
Planned workload loses value when actual time never comes back into the review. Tracked hours show whether assigned work is moving faster or slower than expected, project by project.
