Use this workflow to close a dev team's weekly time with enough detail for payroll, client billing, or delivery reports. Each person's record should show project hours, working hours, descriptions, tags, billable status, and the review decision. The finished week should identify the work performed, the contributor, the date or range, and whether the entry was approved.
Dev team time often crosses tasks, subtasks, project work, and non-project working time within one week. A reviewer needs enough context to spot missing days, unusual daily totals, vague descriptions, or time entered after the work happened. A clean timesheet gives the lead one place to accept good entries, send weak entries back, and close the week.
Start with one row per person per task or working-time entry for the selected week. The useful fields are project, task or subtask, contributor, duration, date and time range, billable status, description, tags, and approval state. Use the ClickUp task as the work reference; use the timesheet layer to turn those entries into a weekly grid a manager can review.
Treat project hours and working hours as different views of the same week. Project hours explain where delivery time went; working hours show the person's recorded work total for review. Time off belongs in the same picture when it affects gross weekly totals or capacity. Keeping those categories visible prevents a manager from approving task hours while missing paid time not worked.
Approval should follow exception review. Late manual entries, blank descriptions, daily totals that look unusual, auto-stopped timers, missing task context, and later edits all deserve a second look. The reviewer should either approve the clean portion, reject entries that need correction, or partially approve the week with a clear note for the contributor.
A correction trail matters because approved hours often move into payroll, billing, budget, or utilization reports. Regular members should not keep changing a closed week after approval. Admin corrections still need a visible reason, the corrected person, the edited entry, and the date of the change so the final record explains the change instead of hiding it.
A free one-off timesheet is enough when one lead needs a quick weekly snapshot, the team is small, and no downstream system relies on the result. It works for checking whether all contributors entered hours, confirming billable status, and exporting a record for a simple client review. The limit appears once the same week needs approvals, locks, corrections, and repeatable reporting.
A managed workflow is the better fit once ClickUp tasks, time entries, approval decisions, and reports need to stay connected. Everhour embeds timers, manual entry, estimates, budgets, and a timesheet button into ClickUp through the browser extension, then carries the reviewed hours into Everhour reports for payroll, billing, budgets, and team review.

Review the week by person first, then by project and task. Confirm that each entry has a duration, date or range, task context, billable status, and description. Entries with missing context, unusual daily totals, or time added after the work was done should go back for correction before approval.
A billing-ready record needs the contributor, project, task or subtask, duration, date and time range, billable or non-billable status, description, and tags. The description should identify the work clearly enough for a reviewer to connect the time to the task. Billable status needs review before invoice work begins.
Subtask time should stay tied to the parent project context, with enough detail to show which contributor worked on which item. A reviewer should check duplicate entries, broad descriptions, and time placed on the parent task because no subtask was selected. The approved week should preserve the detail needed for later reporting.
Close the week after the reviewer resolves missing hours, correction requests, time off context, and entries that need a stronger description. Approved time should stay locked for regular members so payroll uses the same numbers the manager reviewed. Admin corrections belong in a dated trail after the week is closed.
Late edits change the numbers after a reviewer has already used them for payroll, billing, budget, or utilization reports. A controlled correction process preserves the original review decision and explains the change. The strongest record shows the edited entry, the person affected, the correction date, and the reason.
Everhour connects through the browser extension, syncs ClickUp folders, tasks, tags, and custom fields into Everhour, and places timers, manual entry, estimates, budgets, and a timesheet button inside ClickUp. Team hours then feed Everhour's reporting layer with the same project and task context.
Everhour Timesheets let managers approve, reject, or partially approve submitted time, and approved time stays locked for regular members. Admins can correct time for team members when payroll or billing records need cleanup, while activity history helps reviewers see later changes.
Keep dev teams working in ClickUp while Everhour embeds timers and timesheets, syncs task context, and carries approved hours into reporting for cleaner payroll and billing handoff.
