Package clients usually need the package name, billing period, and included scope, such as "Monthly executive support package, up to 20 hours, March 2026."
Retainer or upfront billing needs plain wording because the money is paid before future work is delivered. A line such as "April VA support retainer, 15 prepaid hours" tells the client the payment funds future service. Late fees are contract-dependent, not a universal VA rule. State any late fee only when the client agreement supports it, and use payment terms that match the contract, such as due on receipt, net 15, or net 30.
A free invoice template is enough when you bill one client, one project, and a small number of agreed line items. It also works for a one-time package, a deposit, or a simple monthly retainer.
