The finished invoice should identify the buyer, seller, PO, invoice number, invoice date, payment terms, line items, tax treatment, and remittance details. For product shipments, line-level identifiers matter more than generic descriptions.
A practical line item can read: "NDC 12345-6789-01, Product A 10 mg tablets, 12 bottles, 100 count, Lot L24091, shipped March 5, 2026." Service work uses a different structure, such as "Stability study protocol review, SOW-18, 14.5 hours at $175." The invoice should match the source document the buyer approved.
Pharmaceutical procurement and distribution workflows commonly connect purchase orders, shipment notices, and invoices. The invoice should carry the buyer PO number, product descriptions, quantities, unit prices, extended prices, shipping terms, payment terms, and the seller's remittance information. United States pharmaceutical supply-chain EDI commonly uses X12 850 for purchase orders, X12 856 for advance ship notices, and X12 810 for invoices.
Covered United States prescription-drug transfers also need invoice-adjacent DSCSA tracing records. Transaction information includes product name, strength and dosage form, NDC, container size, number of containers, lot number, transaction date, shipment date when it falls more than 24 hours after the transaction date, and seller and buyer business names and addresses. A required transaction statement accompanies covered transfers.
The United States does not use a national VAT or GST invoice regime, and private-sector invoices do not follow one prescribed federal invoice form. Sales and use tax depends on state and local rules, nexus, product or service taxability, and where the sale occurs. A pharmaceutical invoice should show the applicable sales-tax treatment only when the seller has determined that tax applies.
Payment due dates, early-payment discounts, late fees, returns, chargebacks, rebates, and allowances are normally set by the supply agreement, purchase order, or distributor contract. Put those terms on the invoice exactly as the contract states them. Federal procurement is the clearest national exception: FAR rules define proper invoice fields and generally use a 30-day payment timing standard.

It is enough when the supporting records already live somewhere reliable and the invoice does not need ongoing reconciliation against hours, milestones, costs, or uninvoiced work.
