Project name, task title, client, billing status, tags, date range, assignee, and custom fields provide the strongest invoice context. These fields help separate client work from internal work, group line items clearly, and explain the charge. Custom fields are especially useful when invoices need to follow departments, phases, retainers, or purchase orders.
Task-level lines give clients more detail, while project-level lines keep the invoice shorter. Use task-level detail when the client reviews individual deliverables or hours. Use project-level lines when the agreement prices the work as a package, retainer, or phase. The invoice structure should match the contract and the client's approval process.
Mixing billable, non-billable, and fixed-fee work in the same Notion view without a billing field creates confusion. The invoice preparer then has to guess which tasks belong on the invoice. Add a billing status or equivalent tag before work starts, then review exceptions before generating the invoice.
A United States invoice does not use a national VAT or GST invoice regime. Sales and use tax obligations depend on state and local rules, nexus, the product or service sold, and the place of sale. Sellers that make taxable sales may need a state seller permit or sales-tax account where required.
